Job Summary

As a Property Management Assistant, you will play a crucial role in ensuring the smooth operation of daily activities within our company. This position serves as the primary point of contact for residents, vendors and property owners, making you the face of our organization. You will be responsible for the leasing process, addressing inquiries, coordinating maintenance and construction, providing exceptional customer service to foster positive relationships and assisting the owner of the company with various tasks and projects. Your organizational skills and attention to detail will be essential in ensuring that all operations run efficiently and that residents, property owners and owner of the company receive the highest level of support.

Core Responsibilities of the Job

1. Manage the leasing process from preparing a property for market, to conducting showings all the way through move in and ensuring minimal down time between residents.

2. Oversee resident maintenance requests and ensure issues and requests are resolved efficiently, cost-effectively and in a timely manner.

3. Create budgets for unit turns by assessing property conditions, gathering bids and carefully selecting finishes that elevate the property’s value and remain cost effective for property owners.

4. Assist the company owner through various tasks and projects with exceptional follow up and detailed updates.

5. Embrace and thrive through the use of property management software: Buildium, Property Meld, Lead Simple and Happy Co Inspections.

6. Uphold fair housing regulations in all interactions with tenants and applicants.

7. Compose and respond to emails, texts, calls and requests with professionalism and thoughtful insight.

8. Conduct property inspections annually and during resident move in and move out processes.

Job Requirements

Availability: schedule is somewhat flexible, but ideal working hours would be 4 1/2 weekdays and 1 half day on either Saturday or Sunday for showings or 4 full weekdays and 1 full weekend day. Must be available 2 weekdays until 7pm for showings. Approximately 20 hours per week will be spent in the field, on-site at properties and approximately 20 hours per week will be office/remote work.

Sample Schedule:

Monday: 9am - 5pm

Tuesday: 11am - 7pm

Wednesday: 9am - 5pm

Thursday: 11am - 7pm

Friday: 9am - 1pm

Saturday: 10am - 2pm

Sunday: Off

Experience: 3 years minimum working in property management; or project management; or similar role

Education: minimum High School or Secondary School diploma, equivalent or above.

Licensing: real estate license not required

Transportation: must have reliable transportation as this position is required to be in the field and on-site at properties

Must have a cell phone & laptop

Job Context & Work Environment

· Driving to properties for showings, to meet vendors and coordinate maintenance and construction

· Walking through construction sites and ability to climb stairs and ladders to include going up on roofs

· Sitting behind a desk remotely or at the office to complete work on your computer

· Ability to work as part of a team and independently

· Work involving the potential to deal with angry residents or property owners

· Work involving managing conflict or mediating problems between others

· Dress code is business casual

Our ideal candidate is a self-starter who requires minimal oversight, is extremely organized and will be able to handle a variety of tasks assigned to them without getting overwhelmed or falling behind. Must be personable when conducting showings and able to connect with potential applicants. This position has the ability to grow into a larger role as our company continues to grow.

Job Type: Full-time

Pay: $22.00 - $30.00 per hour

Expected hours: 40 per week
