What are the responsibilities and job description for the Fleet & Compliance Coordinator position at LaBella Associates?
Primary responsibility of this position is administrative support to LaBella’s Fleet & Compliance Manager for LaBella’s fleet of vehicles, safety-related recording and reporting, and managing documentation and submissions to client required supplier qualification/compliance sites.
Specific duties/responsibilities include but are not necessarily limited to the following:
Assist Fleet & Compliance Manager with vehicle related tasks such as:
- Preparing for vehicles for delivery – ensure vehicle has registration, insurance card, safety stickers, logo (where required), breakdown kits, and fire extinguishers (where required)
- Vehicle and driver assignment tasks including processing check requests, setting up folders on the network to store documentation, setting up insurance, adding vehicle/assigning driver in Deltek and ClearPath, ordering EZ passes and WEX gas cards
- Vehicle Reassignment tasks including facilitating oil changes, verifying inspection is valid, and vehicle is clean for new driver, then add new driver to WEX/ClearPath
- Registration Renewals for vehicles/trailers
- Insurance Renewal tasks including distribution of new cards to all drivers of owned, equity leases, long-term rentals and trailers
- Vehicle repairs – coordinate with drivers and track completed repairs/maintenance - save invoices and add cost information into Deltek; assist drivers with payment for repairs and maintenance
- Tracking new hires and run MVRs on those driving LaBella vehicles to ensure eligibility
- Periodically running MVRs to ensure continued driver eligibility
- Working with ClearPath for GPS devices regarding issues, upgrades to fob systems
- Sending managers check list for employees leaving LaBella with vehicles/fobs and remove from ClearPath
- Processing monthly eCommerce statement for all long-term vehicle rentals
- Maintaining supply of vehicle signage – logos, magnetic decals and safety stickers
- Providing monthly driving reports to supervisors to assess driver safety as recorded on the GPS devices
Assist Fleet & Compliance Manager with safety & compliance related tasks such as:
- Documenting incidents in master tracking document and create monthly chart updates
- Filing insurance claims if necessary and coordinate claims process
- Maintaining EMR/OSHA data
- Submitting OSHA information quarterly to compliance websites
- Annual preparation of OSHA 300, 300A and 301’s
- Completing safety statistic portion of proposals
- Completing new client set up and maintain documentation on compliance websites, including uploading new policies and insurance information and completing annual updates for Appruv, Go Supply, Supplier One, Ariba, Avetta, ISNET, etc.
Required Education & Qualifications:
- Associate’s degree in accounting, business administration, or a related field or equivalent
- 3 - 5 years of experience in business operations or a related field
- Excellent written and verbal communication skills
- Strong skills in use of technology, including experience with financial databases
- Excellent organizational skills with attention to detail and follow-through
- Ability to work in a team environment and to communicate effectively with people at all levels within the organization
- Self-motivated to continuously seek ways to aid and improve processes
- Ability to multi-task
Preferred Qualifications:
- Knowledge of fleet and safety requirements for a commercial business
Salary Range: $60,000 - $65,000
The specific salary offered may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.
