What are the responsibilities and job description for the Director of Events position at Lake Ann Camp?
Specialty: The Director of Events will develop the systems and processes necessary to reach the ultimate goal of 5% growth annually in guest groups.

Assumptions:
1. The Director of Events must have a vital personal walk with Jesus Christ to ensure that the direction he/she provides is for the advancement of the mission of the camp. This includes an agreement with the camp’s statement of faith.
2. This person needs to have positivity attitude, an attention to detail and a can do approach to situations.
3. The primary reason for this position is to help Lake Ann Camp grow its guest group participation by 5% annually.
4. This goal, while stretching, is based on our belief that no life is ever changed in an empty bed.
5. For the guest group season our weekly break-even point is somewhere between 350 and 400 campers on site.
6. To be effective this person must be able to turn a conversation into a commitment.
7. The Director of Events must have sufficient character to make decisions that will benefit the campers he/she recruits while at the same time charging the appropriate fees for the services rendered in order for the camp to remain solvent.
8. This individual must be able to take a no answer and turn it into an opportunity as well as ensuring that an unsatisfied customer has felt that the camp cared and has made a plan to make restitution for the wrong.
9. As a Raving Fan organization, the Director of Events will do everything possible to coordinate with each department to make sure that Lake Ann Camp delivers on its promises and that it is meeting and exceeding expectations of our guests.
10. If this individual does not communicate clearly to those serving our guests we will no longer be a Raving Fan organization.
Responsibilities:
1. The Director of Events will be an active member of the internal director team regarding the overall health and wellbeing of the ministry.
2. Retreat bookings will be the primary role of the Director of Events. This includes data base development, maintenance and the development of new contacts and rebooking. This will involve contracting, invoicing and handling of payments by guest groups.
3. The Director of Events will consult with the Director of Guest Services, Director of Food Service, and the Red Canoe manager to ensure that each guest becomes a Raving Fan from the moment they arrive to the time they pack up and leave. He/she will know this happened when people talk about how amazing it was to be welcomed and appreciated at Lake Ann Camp.
4. The Director of Events will be the “Brand Manager” ensuring that all communications and media fully represents the mission, purpose and spirit of all that goes on at the camp.
5. Create and implement a strategy to keep our social media updated, exciting and informative to our audience. This includes tracking activity and increasing participation.
6. Produce a budget for promotion annually and keep the Director of Finance current on all trends relative to attendance.
7. All media will be the responsibility of this position including promotional pieces, camp videos, brochures and signage in keeping with “Brand Standards”. This may be done in house or contracted out.
8. Communicate regularly with the Director of Guest Services to keep the camp calendar updated and current as one of their key areas of responsibility as it relates to the booking of groups, the size of and duration of the guest groups who attend the camp.
9. Travel for this position will be limited to potential face to face marketing, trade shows, conferences or special events.
10. Produce and assimilation of findings of guest group evaluations and inform those responsible of what was learned.
11. Do an annual and simi-annual review with each direct report regarding their performance and if necessary create corrective action plans when needed.
12. If Lake Ann Camp does a fund raiser event this person will be the key coordinator of that event in conjunction with the Executive Director.
13. Coordinate all guest and RV specialty housing and communicate those bookings with the Director of Guest Services.
14. This person will come and connect at least once with the guest group leader while their group is on site. This meeting will be a personal touch with the leader.
What this Position is NOT:
1. This position does not service the needs of the groups he/she recruits as that is done by the Director of Guest Services.
2. While the skills of this person may be used to augment of the needs of the camp, it must be understood that the evaluation of his/her employment will be directly tied to the attendance and growth of the guest group component of our ministry.
3. This is not a position for someone who does not get excited about using the phone, or media to make new and strengthen existing contacts of the camp.
Authority:
1. Will book retreats based on specific financial and spiritual/ethical boundaries including the ability to use agreed upon incentives.
2. Will be the chief advisor to the Lake Ann Camp staff regarding issues that directly impact customer satisfaction and the re-booking of retreats and events.
3. Will make recommendations to the Executive Director and Camp Director regarding the health, safety and necessary upgrades that are needed in our programs or facilities to keep Lake Ann Camp on the “Leading Edge”.
4. Will make recommendations, as necessary, to the Executive Director and Camp Director regarding the discipline or dismissal of anyone that is not advancing our ability to care for the needs of our guests.
5. Will have the authority to spend funds allocated for his/her areas of supervision within budget guidelines. They may also exceed their budget if written permission is granted by the Executive Director prior to the expenditure.
