Description

JOB SUMMARY : The Grants and Compliance Coordinator provides leadership and direction for programs funded by federal, state, and private funds; oversees the financial administration of federal, state, and private grants; ensures that program staff accomplish their approved program initiatives; and that the Institution meets compliance and reporting requirements. Works collaboratively with Deans, Directors, Faculty, and Staff to conduct and oversee academic and quality assurance, including program level assessment, and Institutional effectiveness. Assists in the design, implementation, execution, and evaluation of Institutional planning, assessment, and accreditation projects. Assists in the budget development process and performs budget analysis duties as assigned by the Director of Institutional Planning, Assessment, Accreditation and Research, the Chief Financial Officer, and / or his / her designee.

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES :

Ensure compliance with the rules and regulations administered by the grantor;

Oversee special audits conducted by grantor;

Perform functions of financial administration and reporting to include, but not limited to : preparation and timely submission of grant applications and reports, development and adjustment of associated budgets, coordination of budgeted funds, screening and processing requests for expenditures, and ensuring the timely application for reimbursement from local, state or the federal government;

Serve as a liaison with Administration and other departments on issues regarding grants;

Monitor interventions and programs funded by grants to ensure compliance with grantor guidelines;

Assign certain grants and / or related responsibilities to individual budget / departmental analysts and coordinate their activities related to the grants assigned;

Assist in evaluating the fiscal administration of grant programs;

Oversee the preparation and timely submission of grant applications, application amendments, and budget transfers;

Monitor, input, review, and approve federal grant data in the Institutional data system;

Coordinate staffing levels related to grants for input into various Institutional reports;

Work collaboratively with instructional grant personnel to ensure compliance with Institutional participation requirements in accordance with applicable law;

Receive guidance from the Assistant Provost for Institutional Effectiveness and work closely to ensure consistency and compliance with applicable law;

Maintain a high level of working knowledge with the Microsoft Office Suite and other Institutional data systems;

Responsible for daily, weekly, monthly and yearly financial accounting and reporting;

Responsible for the development of various protocols that relate to the collection of all revenue received by various grants;

Conduct training sessions, in conjunction with the Departmental Supervisors, to instruct in collection of data, reporting, and other daily activities;

Contribute directly to the Mission of LECOM embodying the essence of Osteopathic Principles and Practices by assisting with Institutional fundraising and participating in the LECOM Scholarship Auction;

Participate in scholarly activity so to enrich and broaden the student learning experience;

Commit to being a representative of LECOM by being actively involved in the community, including, but not limited to, serving on Boards, participating in community fundraisers and overall outreach; and

Be able to accept other duties needed / assigned for the department needs.

Minimum Requirements

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS : Must possess required knowledge and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.

The successful candidate must have a demonstrated record of successful grant funding;

K nowledge of grant processes including accounting and financial reporting;

Proficient in the use of financial management software to include spreadsheets and databases, required;

Ability to interpret complex grant funding requirements, submissions, and budget projections;

Ability to interpret federal, state, and local government laws and regulations regarding grant administration;

Ability to review the work of others to ensure conformance to standards;

Ability to communicate effectively across a broad spectrum of staff, both orally and in writing required;

Effective communication skills, both written and verbal; Ability to work effectively under pressure in a fast-paced environment;

Confident in handling ambiguity and fluid situations and have an abundance of common sense and pragmatism;

Ability to work with individuals at all levels in the organization and throw equal enthusiasm behind the more routine, hands-on activities, as well as those requiring a higher profile;

Excellent skills in accounting, finance and business procedures;

Organizational skills; must be accurate and attentive to detail;

Ability to maintain an established work schedule; assess and prioritize multiple tasks and demands;

Interpersonal skills to include tact and diplomacy;

Organizational and planning skills, including attention to detail and follow-through;

Strong computer literacy and accurate data entry skills;

Maintain confidentiality of work-related information and materials (i.e. FERPA / HIPAA);

Establish and maintain effective working relationships;

Flexibility to accept other duties needed / assigned for the department needs;

Strong leadership skills and good judgment at the Administrative level;

Be open minded, patient, creative, enthusiastic, understanding and a team player and understand the requirements for an equal opportunity employer;

MINIMUM QUALIFICATIONS : Education and experience equivalent to : a master’s degree with a concentration in accounting or finance and previous experience in grants financial management, finance, accounting, and / or auditing required. Three to Five [3-5] years’ or more experience working in or overseeing governmental / federal grants required. Must have experience with HRSA, NIH, NSF, or PCORI funding. Experience in an educational setting preferred, but not required.
