About This Role:
The Sr Administrative Coordinator serves under the Dean of Arts and Sciences to administer the operations of the College of Arts and Sciences Dean’s Office.
What You’ll Do – Position Duties
- Provides administrative support to the Dean including screening and handling telephone calls, greeting and directing visitors, scheduling meetings, dealing with administrative situations and inquiries, and communicating with multiple conflicting groups and demands
- Assists procurement utilizing Cardinal Purch for College-funded purchases
- Works with approximately 18 departmental administrative assistants in the College to ensure smooth academic operations.
- Maintains, coordinates, and facilitates Dean’s daily, weekly, and monthly calendar including scheduling meetings, reserving meeting locations, providing frequent reminders and updates, and other related activities
- Maintains timeline of important COAS processes and events for distribution to Dean and departments
- Make travel arrangements, prepare travel documents, and expense reports
- Opens and sorts incoming mail. Screens and evaluates incoming and outgoing correspondence and prepares responses
- Obtains signature(s) to ensure paperwork is corrected and moved to the next level for approval in a timely manner
- Takes minutes at the semimonthly chairs meetings
- Coordinates and processes annual faculty evaluations for 200 faculty member in the College
- Coordinates and processes the Department Chairs 3-year reviews
- Coordinates and processes department curriculum requests with the Chair of the College Curriculum Committee
- Coordinates College elections for College-wide committees and College seats on University-wide committees
- Coordinates the materials for the faculty promotion and tenure files
- Participates in college and university events as needed (e.g. homecoming)
- Coordinates college events as needed (e.g. College of Arts and Sciences Holiday Reception, COAS Convocation, Advisory Board Meetings)
- Ability to cultivate and maintain a positive relationship with many internal and external constituencies
- Ability to handling confidential matters discreetly
- Ability to update and maintain office records
- Knowledge of ERP and Procurement software (for example, Banner and Cardinal Purch)
- Ability to organize resources and establish priorities
- Skill in creating, composing, and editing written materials
- Ability to make administrative and procedural decisions and judgments
- Ability to cope with deadlines
- Ability to work cooperatively with fellow employees and supervisors
- Ability to tolerate criticism
- Ability to tolerate stressful conditions,
- Ability to adhere to university policies and procedures
- Ability to work with a positive attitude, a service orientation, and a professional atmosphere
- Able to lift 25 lbs and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing and walking between buildings.

Minimum Qualifications
- Bachelor’s Degree. (Experience substitutable for education.)
- 5 years of progressively responsible administrative support experience in a University setting (Education substitutable for experience.)
