The Accounts Payable and Accounts Receivable Clerk is responsible for managing both outgoing payments to vendors and incoming payments from customers. This role ensures the accurate processing of invoices, timely collection of payments, and maintenance of financial records. The specialist plays a key role in supporting the company’s cash flow and financial operations.
Key Responsibilities:
- Accounts Payable:
- Process and verify vendor invoices for accuracy and ensure proper approvals
- Enter invoices into the accounting system and process timely payments (checks, ACH, wire transfers)
- Reconcile vendor statements and resolve any discrepancies
- Maintain records of all payments and vendor transactions
- Assist with month-end closing tasks related to accounts payable
- Accounts Receivable:
- Generate and send invoices to customers and clients
- Record and apply incoming payments accurately
- Monitor overdue accounts and follow up with customers to ensure timely payment
- Reconcile accounts receivable ledger and resolve discrepancies
- Prepare regular reports on receivables status and aging balances
- Assist with month-end closing tasks related to accounts receivable
Required Skills:
- Strong attention to detail and accuracy
- Solid understanding of basic accounting principles
- Proficiency in accounting software and MS Office (especially Excel)
- Excellent communication and problem-solving skills
- Ability to manage multiple tasks and meet deadlines
Education/Experience
Required: High School Diploma and 2 years’ accounts payable experience. Proficient skills in Microsoft Office with required knowledge of Microsoft Excel and Word.
Preferred: Associates Degree in Accounting and 3 years’ experience with accounts payable and general accounting. Familiarity with SAGE and QuickBooks accounting software.
