What You'll Be Doing (Besides Enjoying the Occasional Wine Perk!!)
Accounts Payable
- Set up and maintain vendor accounts, including payment terms, discounts, and W-9 forms.
- Accurately code all accounts payable invoices to appropriate accounts and cost centers.
- Implement and oversee an approval process for non-recurring invoices.
- Process all accounts payable invoices, check requests, expense reports, and autopay transactions.
- Utilize available discounts to optimize cost savings.
- Address vendor inquiries regarding payment status and discrepancies.
- Reconcile vendor statements, identify discrepancies, and ensure timely resolution.
- Maintain accurate and organized AP records for auditing and compliance.
- Ensure adherence to internal controls, company policies, and accounting standards.
- Identify and recommend process improvements, automation, and efficiency enhancements within AP.
Payroll
- Provide backup support for processing full-cycle in-house payroll for up to 200 employees weekly.
- Sort and distribute paychecks, ensuring all payroll attachments and timecards are included.
Accounts Receivable
- Assist with customer billing processes and provide backup support as needed.
General Ledger
- Support the accuracy and integrity of general ledger accounts.
- Enter journal entries as directed.
Reporting and Audits
- Generate and distribute weekly, monthly, and annual accounting and payroll reports.
- Assist with internal and external audits as required.
Administrative Tasks
- Perform general office administrative duties, including filing and document organization.
- Manage incoming and outgoing mail, including daily sorting and distribution.
- Answer and direct phone calls, ensuring prompt and professional communication.
- Collaborate with various teams across the organization on assigned projects.
- Perform other duties as assigned.

What We’re Looking For
- High School Diploma required; Associate degree (AA) preferred.
- 5 years of experience in accounting and office settings, including accounts payable, bookkeeping, and managing accounting/payroll databases, with a strong understanding of accounting and mathematical principles.
- Detail-oriented, highly accurate, and organized with strong time management.
- Proficient in MS Office, specifically Excel.
- Ability to thrive in a fast-paced setting and manage multiple priorities.
- Capable of working independently and exercising sound judgment.
- Professional interaction with employees at all levels; bilingual in English/Spanish is a plus (but not required).
- Winery, viticulture, or farming office experience is a plus.
- Able to handle unexpected projects and support team needs as required.
