What are the responsibilities and job description for the Warehouse Office Administrator (PART-TIME) position at LAPP?

Schedule: 8:00am-2:30pm
Summary: Reporting to the Warehouse Manager, this individual will be responsible for ensuring the smooth operation of Lapp USA's stand-alone logistics center, following established procedures. They will oversee administrative tasks, support warehouse staff, manage inventory, and facilitate communication with both internal teams and external vendors. The role requires exceptional attention to detail and strong organizational skills to maintain an efficient workflow.
Essential Duties and Responsibilities – include the following. Other duties may be assigned.
• Professionally welcomes on-site visitors, determines the nature of business, and ensures all security and identification procedures are followed. Maintains a schedule for all expected guests and prepares for visits accordingly.
• Responsible for the scheduling of all necessary inspections and regular building maintenance (monthly, quarterly, annual) for safety, building systems, and cleanliness as well as “as-needed” vendors such as plumbing, electrical, and vending.
• Partner with the remote Human Resources Department to facilitate the on-site orientation of all new hires, including paperwork, building tours, and security access.
• Ensures all facility common areas are organized and prepped for meetings and visitors. Maintains schedule for usage.
• Coordinate and schedule training for all warehouse staff, ensuring training plans are up to date and mandatory company training is completed by all associates. Assist associates with online training platform troubleshooting. Record on-the-job training via Lapp’s LMS system.
• Maintains associate skills/competency matrix for audit-ready review at any time.
• Responsible for ordering all office and warehouse supplies, keeping an accurate material inventory, and ensuring the operations always remain fully functional.
• Partners with the warehouse manager and supervisors by providing attendance recaps, overtime analysis, and report generation on a daily and weekly schedule.
• Responsible for detailed recordkeeping of attendance matrix.
• Event coordinator for facility events. Responsible for set up and take down.
• Liaison between warehouse and internal departments (Customer Service, Transportation, Sales, Finance, etc.)
• Maintains record keeping for Shred-it services, Sonoco, toner recycling program, and compactor disposals according to ISO requirements.

QUALIFICATIONS AND EDUCATION REQUIREMENTS: 2-year degree or equivalent; and one to three years related experience and/or training.
WORK LOCATION: This position is located in Brownsburg, IN. Employees in this role are required to work in the office daily.
LANGUAGE SKILLS: Proficiency in the English language, verbal and written, is required. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. Ability to ask questions and disseminate information effectively.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
COMPUTER SKILLS: To perform this job successfully, an individual should be proficient in Microsoft Office 365 and have strong skills in Excel and Teams. Previous experience with HRIS/Timekeeping systems is a plus. The ability to adapt quickly to new computer software is necessary.
