Job Overview: Bilingual Assistant/Receptionist (Fluent in English & Spanish)

We are looking for a friendly, professional, and organized Assistant/Receptionist to join our team at our immigration law firm. The ideal candidate will be fluent in both English and Spanish, have excellent communication skills, and possess a warm, welcoming demeanor. This is a fantastic opportunity to be the first point of contact for clients seeking legal assistance in immigration matters.

Key Responsibilities:

  • Greet clients, visitors, and callers in a friendly and professional manner.
  • Answer and direct phone calls in both English and Spanish, providing helpful information and scheduling appointments.
  • Assist clients with completing intake forms and gathering necessary documentation.
  • Schedule consultations, meetings, and hearings for attorneys and clients.
  • Manage and maintain the front desk area, ensuring it is organized and welcoming.
  • Handle incoming mail, emails, and faxes, directing them to the appropriate personnel.
  • Maintain and update client records, ensuring all information is accurate and confidential.
  • Assist with general office tasks, such as filing, data entry, and office organization.
  • Assist attorneys and paralegals with administrative tasks as needed.
  • Provide translation and interpretation services between English and Spanish when necessary.

Qualifications:

  • Fluency in both English and Spanish, written and verbal.
  • Previous experience in a receptionist or administrative role preferred, especially in a legal or client-facing environment.
  • Strong communication skills, both in-person and over the phone.
  • Excellent organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Ability to maintain a positive attitude and provide exceptional customer service.
  • Knowledge of immigration law is a plus, but not required.
  • Proficiency with office software and phone systems.
