Job Summary
We are seeking a highly organized, and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong time management and organizational skills to effectively manage front desk operations while ensuring a welcoming atmosphere.
Duties
- Greet and welcome guests in a friendly and professional manner.
- Manage a multi-line phone system directing them to the appropriate personnel.
- Maintain an organized filing system for documents and records.
- Perform clerical duties such as data entry, proofreading, and document preparation.
- Schedule appointments and manage calendars for Attorneys.
- Utilize office management software, to assist with administrative tasks.
- Ensure the front desk area is tidy and presentable at all times.
- Assist with various administrative tasks as needed to support office operations.
- Monitor office supplies.
- Handle inquiries and resolve complaints or direct them to the right person.
- Manage incoming mail, including sorting, scanning, distributing and delivering it to appropriate departments
- if needed, respond to in-office client inquiries regarding case updates.
- Other duties may be assigned.
Requirements
- Proven experience in an administrative or clerical role is preferred.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent organizational skills with attention to detail.
- Proficiency in computer applications and office management software.
- Strong communication skills, both verbal and written.
- Fluent in Spanish
- Ability to work independently as well as part of a team.
- A friendly demeanor with a commitment to providing outstanding customer service.
- At least one year of experience working in an office setting.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Expected hours: 40 per week
