Who we are looking for
The Executive Assistant enhances the executive team’s effectiveness by providing information, management support, representing the director to others, and managing daily functions. This person will exercise a great deal of independence in performing a wide variety of tasks such as, but not limited to, receptionist coverage where needed, collaborating and coordinating operations and other admin personnel. Receptionist coverage when needed. The Executive Assistant reports to the Deputy Director.
Primary Duties:
- Maintains Deputy Directors’ calendar and schedules appointments as indicated. Keeping her apprised of external appointments and communications.
- Arrange annual reviews for the Deputy Director, ensuring they are added to her calendar promptly.
- Schedule interviews with prospective staff.
- Ability to work collaboratively with a diverse team and manage multiple priorities.
- Demonstrated leadership and team management abilities.
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Compose effective correspondence independently and edit a wide variety of materials such as electronic correspondence, reports, forms, applications, memoranda, and other documents.
- Prepare and distribute selected meetings agendas and reports including research, preparation, and production of data and supportive material.
- Exercise considerable judgment and apply experience in making decisions; provide information in accordance with established procedures and policies; refer problems requiring technical answers to appropriate administrators.
- Communicate with stakeholders and proactively manage communication; represent the executives by attending meetings in the executives’ absences.
- Liaison in the absence of or in addition to the Executive Director and/or Deputy Director between potential and existing partners during events and/or meetings (both community and corporate)
- Liaison in the absence of or in addition to the Executive Director and/or Deputy Director for contracted services
- Conserve Deputy Director’s time by reading, researching, and routing correspondence; draft letters, documents, and slides; collect and analyze information; initiate telecommunications.
- Secure information by completing database backups.
- Provide historical reference by developing and utilizing filing and retrieval systems, record meeting discussions.
- Address inquiries from the media and/or community with professionalism and discretion. Directing requests to the Executive Director
- Train and provide work direction to interns as assigned; monitor office workflow and assure compliance with established timelines, procedures and standards of quality.
- Assist with project management of Greystone renovations and commercial development.
- Safeguard confidentiality and ensure operational integrity by maintaining strict confidentiality protocols.
- Support office operations:
- Ensure equipment functionality by liaising with the IT department, troubleshooting malfunctions, and arranging repairs.
- Evaluate new equipment and technological advancements, communicating needs to the technical team.
- Support coordination of events, trainings, conferences, and professional development sessions.
- Provide onboarding assistance:
- Order new staff badges to facilitate seamless integration into the team.
- Schedule headshot sessions for new staff three months into their tenure.
- Perform other duties as assigned.
- Would like to leave operational specific tasks to DOO but offer support in absence when needed.
Preferred Qualifications:
- Bachelor’s degree preferred.
- At least 2 year of office administration experience
- Exceptional oral and written communication skills
- Interpersonal skills using tact, patience, and courtesy.
- Strong computer skills including software systems and office equipment.
- Strong organizational and problem-solving skills and proactive workstyle
- Strong multi-tasking and prioritization skills
- Ability and willingness to be available outside of the typical 8-5 business hours.
