Intake Coordinator/Administrative Assistant Wanted to Join Innovative Team

LawyerLisa is looking for a well-organized Administrative Assistant to provide support for our Bluffton office. This is a great opportunity to establish working relationships with our lawyers and our staff and to contribute to the overall efficiency, success, and growth of our business.

Primary Intake Responsibilities (Will Train)

· Receive incoming calls and emails from potential clients and work to schedule an appointment with the attorney

· Prepare documents for initial meetings with clients

· Print documents for client signings

· Be available for attorney needs during appointments

· Be a witness on signings and assemble executed documents into binders

· Scan and organize documents after appointments

· Update project management system with all client activity

Primary Administrative Responsibilities

· Greet clients and ensure that they receive the best in customer care

· Ensure the office is presentable at all times

· Prepare conference rooms for client meetings

· Work closely with Operations Manager to ensure all office needs are handled – supplies, technology items, etc.

· Collect and distribute mail

· Complete tasks for client check-out – payments, receipts, scheduling signings, etc.

· Maintain filing systems, both electronic and physical

· Organize documents and files – scanning, naming, online filing, attaching to calendar and Trello, etc.

· Work with Operations Manager and team to continue to grow the business and make processes and systems better

Skills

· Excellent verbal and written communication skills

· Must be able to work in a fast-paced environment and have friendly people skills

· Must be able to multitask

· Must be adaptable – able to adjust as job duties may change due to the growing business

· Proficient with Microsoft Office (Outlook calendar) and Google Drive applications

· Able to learn new skills

· Highly organized and pays close attention to detail

· Ability to work alone and with a team

· Problem-solving skills

· Able to exhibit compassion and empathy to hurting clients

· Computer literacy

· Flexible - On any given day, you may need to perform a variety of tasks

· Experience with Trello and DocuSign a plus

Pay: $18.00 - $22.00 per hour

Expected hours: 40 per week
