The Finance Operations Team handles several administrative functions within the Comptroller & Treasury Department . The team handles all the calls to the department's main number, the collection and distribution of the mail, and scanning and indexing documents into the OnBase online document storage and retrieval software. They are also responsible for records requests, record retention, and reissuing stale dated checks or reporting and submitting those funds as unclaimed property to the state.

Position Duties
- Gain accurate knowledge of Clerk and County offices and their functions
- Learn and utilize the current phone system
- Provide coverage for the reception function by answering phones and greeting visitors with guidance
- Communicate with incoming calls and visitors for proper call routing and direction, provide accurate information to callers and visitors.
- Collect, open, sort, and accurately distribute mail on a timely basis with guidance
- Learn and utilize the current document imaging software/system
- Gain knowledge and practice consistent application of exceptions pertaining to standardized document indexing guidelines
- Gain knowledge and understand lifecycles of incoming documents from vendors
- Become familiar with confidentiality policies and learn to identify confidential information on regularly processed documents
- Append and redact certain information on existing documents in our document imaging software
- Achieve and maintain a high accuracy rate in order to continue meeting Prompt Payment Laws
- Understand technical specifications for the regularly used scanning formats
- Become familiar with how to perform the Unclaimed Property check reissue process for all County and Clerk stale dated checks
- Become familiar with how to perform the Clerk Cash Bond check reissue process for all stale dated Clerk Cash Bond checks
- Assist with providing Payroll forms and collecting documents at the front desk
- Other duties and/or Special Projects as assigned
- High School diploma or equivalent required
- Two years of clerical experience or any combination and experience that demonstrates the ability to perform the position duties
Knowledge, Skills & Abilities:
- Accurate keyboarding, data entry and 10-key skills required
- Accurate sequential filing skills required
- Basic knowledge of Microsoft Word, Excel and Outlook
- Proficiency in business English and business math required
- Good organizational and time management skills required
- Attention to detail is required
- Ability to work in a fast paced environment with stringent time constraints
- Ability to communicate effectively, both orally and in writing
- Effective interpersonal skills, strong work ethic and professional demeanor are required
- Use tact in sensitive situations, maintain confidentiality of restricted files, and maintain a courteous attitude at all times
- Demonstrate proficiency with operations and general care of the PC, printers and other required office equipment
- Ability to work effectively in a group or independently
- Experience with Clerk specific applications
- Work is performed with moderate supervision
- Ability to work extended hours
