Job Description:
Legal-Ease is seeking a motivated and organized individual to join our team as a Receptionist and Legal Assistant. The ideal candidate will be responsible for handling a variety of administrative duties, including general reception tasks, client management, and assisting our legal team with office and legal administrative tasks.
The successful candidate must possess strong communication skills, attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment.
Key Responsibilities:
- Reception and Front Desk Duties:
- Greet clients and visitors in a professional and welcoming manner.
- Answer and direct phone calls, take messages, and respond to general inquiries.
- Manage office correspondence, including mail, email, and faxes.
- Client Management:
- Schedule and confirm appointments for attorneys and clients.
- Maintain and update client records in our database.
- Assist clients with questions, ensuring they feel informed and supported.
- Administrative Support:
- Perform data entry, typing projects, document filing, and organization of client files, both physical and electronic.
- Prepare and proofread documents and correspondence.
- Assist with the preparation of internal documents and forms.
- General Office Duties:
- Run errands as needed, including filing documents with courts or other agencies.
- Maintain office supplies and order office materials as required.
- Assist attorneys and staff with miscellaneous tasks to ensure smooth office operations.
Qualifications:
- High school diploma or equivalent required (Associate's or Bachelor's degree preferred).
- Previous experience in a receptionist or administrative assistant role, preferably in a legal setting.
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and/or Google programs.
- Ability to maintain confidentiality and handle sensitive information.
- Reliable, punctual, and a team player.
- Reliable transportation.
