Job Description
General Statement of Job:
This position involves the daily processing of accounts payables and purchase orders for
several schools and departments. Also balances all state, federal and local bank statements on a monthly basis and performs other various duties when necessary. Position reports directly to the Finance Officer.
Specific Duties and Responsibilities:
- Process, review for accuracy, and obtain approval of Accounts Payable invoices, check requests, and purchase orders for the departments and schools listed
- Process travel requests for schools and departments listed above
- Balance monthly State (Department of Public Education) and Local (Wachovia) Bank Statements
- Complete journal entries in a timely manner
- Balance monthly State and Federal Reports in a timely manner
- Balance monthly Cafeteria Account
- Balance monthly Automated Clearing House account
- Transmit BUDS on computer AS400 System
- Complete detailed spreadsheets monthly for Century Link invoice and
- process for payment
- Complete detailed spreadsheets monthly for Toshiba copiers and process for payment
- Complete detailed spreadsheets monthly for Information Technology Service and process for payment
- Complete monthly count for central office copiers
- Other duties as assigned by Finance Officer
Additional Job Functions or Assigned Tasks:
- Balance monthly statements for Child Nutrition Department
- Serve as AS400 computer operator
- Fill in for receptionist/switchboard occasionally
Minimum Training and Experience:
- Associate’s Degree required, Bachelor’s degree preferred
- Bookkeeping experience and knowledge of accounts payable
- Familiar with balancing State, Federal, and Local funds on a business level
Minimum Qualifications or Standards Required to Perform Essential Job
Functions:
- Calculator and computer skills necessary
- Ability to multitask
- Ability to lift heavy ledger books and boxes when necessary
Other Requirements:
- Maintain an acceptable attendance record and be punctual
- Ability to get along with others and work as a team member
- Ability to assist other co-workers when necessary
