Overview:

The Clerk is an elected position that supports the state court system, including circuit and county courts and serves county government as, Comptroller, Auditor, Recorder and Treasurer. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. Position involves contact with elected officials as well as State and County government executives. Must learn quickly, operate with a sense of urgency, and possess excellent interpersonal, communication, and organization skills. his position operates in an office setting Monday through Friday; however occasional evening, holiday and weekend hours are required for critical support and for emergencies. This is an at-will position serving at the pleasure of the elected Clerk.The Executive Assistant performs a variety of complex, confidential administrative duties in direct support of the Clerk and Senior Management Team (SMT) including personnel work, communicating with a wide range of people, responding to questions/concerns from the public, and manage overall office duties and activities.

Duties may include, but are not limited to the following:
  • Prepares complex reports and documents such as contracts, professional service agreements, project reports, budget reports and/or statistical reports.
  • Performs background research on relevant topics to help the Clerk prepare for meetings with other departments and government officials.
  • Maintains confidentiality of all sensitive reports, correspondence and conversations.
  • Prepares presentations to be given by the Clerk, including the necessary research and coordination with SMT team members.
  • Establishes and maintains records/logs of incoming correspondence and documents to ensure timely action and reads outgoing correspondence/reports for procedural and grammatical accuracy, policy and factual preparation.
  • Serves as a liaison with employees and external stakeholders; represents the clerk at a variety of meetings, public events, training sessions, on committees, and/or other related events.
  • Attends meetings, hearings and conferences; takes notes and verbatim transcripts and prepares minutes and summaries.
  • Coordinates public information matters with other agencies and citizen groups as directed; may prepare routine newsletter and provide substantive input for the media.
  • Monitors and reports on new legislation, regulations or County policies and plans.
  • Schedules appointments without prior clearance; establishes priorities of appointments; and shifts and reschedules appointments at own discretion.
  • Coordinates and completes arrangements for travel, conferences, out of town meetings, etc.
  • Performs other duties as assigned and as needed to support the Clerk.
  • Willingly and cooperatively performs tasks and duties which may not be specifically listed in the class specification or position description, but which are within the general occupational category and responsibility level typically associated with the employee's class of work.
Bachelor's degree in a business/public administration, social science, or liberal arts field. Requires effective oral and written communications skills plus MS office or similar software skills for report writing and public presentations. A five (5) year combination of specified education and/or experience will qualify.

Experience:
Five (5) years' experience providing management/executive-level support involving research/investigation of public policy issues, project management, citizen/customer service response/complaint resolution, and policy and procedure or program development/implementation.

Equivalencies:
  • High school diploma or GED plus nine (9) years of the required experience will meet the education and experience requirements
  • Associate's degree in any field plus seven (7) years of the required experience will meet the education and experience requirements
  • Bachelor's degree (or higher) in a non-specified field plus six (6) years of the required experience will meet the education and experience requirements
  • Master's degree (or higher) in a specified field plus one (1) year of the required experience will meet the education and experience requirements

  • Possess and maintain a valid Driver's License.
  • Complete Background Check of Florida Crime Information Center (FCIC)/ National Crime Information Center (NCIC).
  • Past Employment Verification.
  • Education Verification.
  • Pre-employment drug test at County designated test location.
  • E-Verify Eligibility to Work in United States.
  • 90-Day Introductory Period.

Salary : $47,065 - $61,186
