Key Responsibilities:
- Manage dispatch and scheduling of appointments between the office and prospective clients or leads, ensuring timely follow-ups and smooth communication
- Manage daily administrative operations and ensure smooth office workflow
- Answer phone calls and respond to emails professionally and promptly
- Schedule and confirm appointments with clients and vendors
- Handle invoicing, payments, and bookkeeping using QuickBooks
- Coordinate with project managers and field crews to maintain job schedules
- Maintain organized digital and physical records
- Assist with permit applications, contracts, and project documentation
- Provide general support to the owner and team as needed
Qualifications:
- Prior experience in office management or administrative roles (construction industry a big plus!)
- Proficiency in QuickBooks and Microsoft Office/Google Workspace
- Experience with advertising, marketing tools, or CRM platforms is a strong advantage
- Strong organizational and multitasking skills
- Excellent communication skills (written and verbal)
