Position Summary:
We are seeking a reliable and organized Office Assistant to support the office staff with various administrative tasks. This position is crucial for ensuring smooth office operations, maintaining organized records, and providing excellent customer service to our tenants. The ideal candidate will have a strong customer service mindset, excellent organizational skills, and the ability to communicate effectively in both English and Spanish.
Key Responsibilities:
- File Management:
- Organize, file, and maintain lease agreements and related documents.
- Ensure all necessary information is present before filing leases and documents away.
- Keep physical and digital files up to date and accessible for future reference.
- Data Entry & Record Keeping:
- Enter and update tenant information and work orders into the system accurately.
- Maintain accurate records of tenant requests and follow up as needed.
- Work Order Management:
- Record and track work orders submitted by tenants for maintenance or repairs.
- Ensure that work orders are properly documented, communicated to the maintenance team, and followed up on for timely resolution.
- Customer Service:
- Serve as the first point of contact for tenants, both in person and over the phone.
- Provide assistance, answer inquiries, and resolve tenant concerns in a professional and friendly manner.
- Address tenant questions about leases, payments, maintenance issues, and other property-related matters.
- Administrative Support:
- Assist the Leasing Manager and Property Manager with various office tasks, including scheduling, filing, and preparation of documents.
- Coordinate communication between tenants and the management team.
- Communication:
- Effectively communicate with tenants in both English and Spanish to ensure clarity and understanding.
- Provide updates to tenants on the status of work orders, maintenance issues, or other property concerns.
Qualifications:
- Education:
- Minimum of an Associate's Degree in a related field is required.
- Experience:
- At least 2 years of customer service experience, preferably in a property management or administrative role.
- Language Skills:
- Fluent in both English and Spanish, with the ability to communicate effectively with tenants and staff in both languages.
- Skills:
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency with office software (Microsoft Office Suite, Google Workspace, etc.) and property management software a plus.
- Customer Service Focus:
- Friendly, approachable demeanor and ability to handle tenant inquiries professionally and courteously.
- Problem-solving abilities and a proactive approach to resolving issues.
