We are seeking a proactive and highly organized Executive Assistant to provide high-level support to a team of six Senior Managers. This role requires exceptional attention to detail, strong problem-solving skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a strategic thinker who can anticipate needs, streamline processes, and ensure seamless day-to-day operations.
Key Responsibilities :
Manage calendars, coordinate meetings, arrange travel, and handle expense reporting for six senior leaders.
Oversee workspace reservations, facilitate meeting logistics, and ensure timely follow-ups on action items.
Prepare, review, and process key documents, including contract approvals, signature retrieval, and compliance filings.
Handle document processing tasks, including electronic signature management (DocuSign), financial recordkeeping, and submission of business reports.
Upload and track signed agreements in internal systems ensuring accuracy and compliance.
Handle sensitive information with discretion, supporting executive decision-making with well-organized materials and reports.
Qualifications & Experience :
Bachelor’s degree preferred.
3 years of executive or administrative support experience required.
Experience in a professional services or corporate environment preferred.
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with PeopleSoft Financials.
Key Competencies & Skills :
Highly organized, able to juggle multiple priorities while maintaining accuracy and efficiency.
Strong communication skills, both written and verbal, with the ability to draft professional correspondence.
Exceptional attention to detail with the ability to ensure accuracy in document processing and data entry.
Discretion and professionalism in handling sensitive business and financial information.
Problem-solving mindset, able to anticipate needs and take initiative to improve processes.
Pay Details : $50,000.00 to $53,000.00 per year
