Records Production Specialist
Liberty Litigation Support LLC, a growing litigation support firm located in NW Houston, is searching for a reliable, organized, and extremely detail-oriented individual to fill the position of Records Production Specialist. The successful candidate should have record retrieval experience at a court reporting/record retrieval company or have worked as a paralegal or legal secretary in a law firm requesting records. A positive attitude, excellent time and attendance, a desire to learn and grow, and excellent communication skills with peers, clients, and vendors are a must. Applicants must be detail-oriented and focus on quality. The candidate will be responsible for maintaining our reputation as a stellar performer that clients have come to expect.
Record Production Specialist responsibilities:
- Basic administrative duties such as scanning, making copies, answering phones, directing calls, and various clerical tasks.
- Enter data and produce record orders with high accuracy.
- Perform regular status calls on outstanding record orders.
- Review and process invoices received from facilities to purchase records.
- Download, review, and process records ordered by FAX, email, or online portals.
- Scan and process records received via mail.
- Perform quality checks on records to confirm accuracy.
- Communicate with the Custodian of Records to obtain missing or incorrect legal documents and/or records.
- Produce records following client preferences, Bates label and OCR records.
- Upload records to the online portal and notify clients.
- Prepare hard copy records for clients, which may include printing, binding, and tabbing for attorney and/or court-sealed copies.
- Maintain detailed progress notes in tracking software
- Update status notes for clients
- Invoice clients for records ordered and provided.
- Electronic filing of court documents
- Ensure that all documents, letters, and other mailing items are shipped to the correct addresses and that all HIPAA Standards are met while handling PHI.
- Package, weigh & label records for shipping to clients.
Skills:
- Experience with the record retrieval process
- Highly organized and detail-oriented individual
- Strong communication skills, attention to detail, and problem-solving skills.
- Experience with Microsoft Office365
- Experience with Adobe Acrobat Pro
- Experience with OMTI’s MetaRecords 8 software
- Excellent interpersonal and communication skills
- Take direction and work independently
Job Type: Full-time
Pay: $17.00 - $18.00 per hour
Expected hours: 40 per week
