This position is with an independently owned, thriving swim school in Montclair, NJ.
This is a late spring / summer seasonal position.
That said, potential exists, though not for certain, for year-round work. Applicants do not need to be available for fall/winter in order to get the job.
Summary
As a Customer Service and Administrative Assistant, you'll be essential in delivering outstanding assistance to our clients. Reporting directly to the owner, your role will utilize core skills such as phone etiquette, composing emails and organizational abilities. You'll handle inquiries, help schedule lessons, and resolve issues effectively. You'll also be the communication link between clients and the instructors. Your experience with Acuity scheduling software and a CRM management system will help you get up to speed quickly. Responsibilities:
- Working within our CRM software, answer client emails, phone calls and texts in a timely and thoughtful manner.
- Using Acuity booking software, help clients schedule/reschedule swim lessons.
- Learn about the company mission and how we operate, and communicate these principles to our customers.
- Follow up with clients regarding outstanding accounts.
- Communicate important client information to instructors.
- Order equipment and supplies as needed.
- Periodic site visits to our pools to help set up supplies and keep items stocked.
- Execute typical administrative duties such as making copies, laminating and running errands.
Qualifications
- Excellent spoken and written English skills.
- Proficiency in Microsoft Office and Google Suite.
- Customer service including phone etiquette and sending emails.
- Experience in clerical and administrative roles.
- Strong organizational and time management.
- Familiar with Acuity online appointment scheduling software.
- Familiar with Hubspot software, or other similar CRM.
- Bilingual candidates of English and Spanish are encouraged to apply.
- Social media experience a plus.
- Candidates with experience in related consumer spaces such as another swim school, or company that offers educational or recreational services for school age children is a plus.
