We are seeking an organized and proactive Administrative Coordinator to join our team at Lifeline Health , a 245D home care agency. This individual will play a key role in supporting the day-to-day operations of the agency by managing communication, assisting with the onboarding of new clients, and facilitating the hiring and training of staff. The ideal candidate will be detail-oriented, have excellent communication skills, and thrive in a fast-paced environment.
Key Responsibilities:
- Client Support & Onboarding
- Serve as the first point of contact for potential and new clients.
- Manage the client intake process, including gathering required documentation and scheduling assessments.
- Ensure compliance with 245D regulations during the onboarding process.
- Staff Recruitment & Training
- Assist in the recruitment process, including posting job openings, screening applicants, and scheduling interviews.
- Coordinate and facilitate new staff orientation and training sessions.
- Maintain staff records, including training certifications and performance evaluations.
- Administrative Tasks
- Answer phone calls and respond to emails from clients, families, and staff in a timely manner.
- Organize meetings, maintain office filing systems, and keep track of care plans and service agreements.
- Assist with scheduling and ensure proper staff coverage for client care.
- Compliance & Reporting
- Keep up-to-date with 245D regulations and ensure all administrative procedures are compliant.
- Maintain accurate and confidential client and staff records.
Required Skills & Qualifications:
- Education: High school diploma or GED required; Associate’s degree or higher in Business Administration, Healthcare Administration, or related field preferred.
- Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with client management software.
- Communication Skills: Excellent written and verbal communication skills.
- Organization: Strong organizational skills with the ability to multitask and manage multiple priorities.
- Attention to Detail: Ability to maintain accuracy while handling sensitive information.
- Teamwork: Ability to work collaboratively with colleagues, clients, and external partners.
- Compliance Knowledge: Familiarity with 245D and other healthcare regulations preferred but not required.
