Overview:
The Program Coordinator for the Community Arts Program will oversee the daily operations of the program, ensuring that arts activities, classes, and events are well-coordinated and successfully delivered. The Coordinator will supervise program staff, including teaching artists and support personnel, and will ensure that all programming aligns with the mission and goals of the organization. This role requires excellent leadership, organizational, and communication skills, as well as a passion for the arts and community engagement.
Key Responsibilities:
- Oversee the day-to-day operations of the community arts program, including scheduling, planning, and implementation of classes, workshops, and events.
- Supervise a team of teaching artists, program assistants, and volunteers, ensuring they are well-prepared, supported, and delivering high-quality arts programming.
- Conduct regular check-ins and evaluations with program staff, providing feedback, guidance, and professional development opportunities.
- Coordinate staff schedules to ensure coverage for all program activities and events.
- Assist in the hiring and onboarding of new staff and volunteers.
- Serve as the primary point of contact for youth participants and their families, providing clear communication about schedules, expectations, and program updates.
- Build positive relationships with program participants, encouraging their engagement, creativity, and growth in the arts.
- Address the unique needs of youth participants, offering guidance, mentorship, and support as needed.
- Plan and coordinate public events, exhibitions, performances, and showcases that highlight the talents of program participants and engage the broader community.
- Manage event logistics, including securing venues, coordinating staff and volunteers, and overseeing event promotion.
- Ensure that all events run smoothly and reflect the organization's mission and values.
- Provide leadership and mentorship to program staff, fostering a positive and collaborative team environment.
- Lead staff meetings and offer regular opportunities for staff to provide input and feedback on program operations.
- Promote a culture of learning and continuous improvement within the program team.
- Actively engage participants and their families, ensuring open communication about program activities, schedules, and expectations.
- Prepare regular reports for the Program Manager, Executive Director, and funders on program outcomes, successes, and areas for improvement.
- Maintain accurate records, including participant enrollment, attendance, and program evaluations.
- Recruit, train, and oversee volunteers to support program activities and events.
Outreach and Recruitment:
- Develop and implement strategies to increase youth enrollment in programs.
- Build relationships with local schools, community centers, and organizations to promote program offerings.
- Attend community events and fairs to raise awareness about the program.
Marketing and Communications:
- Work with the Program Manager and marketing team to develop and implement marketing strategies aligned with the organization’s mission and goals.
- Create and distribute promotional materials (flyers, social media, newsletters) targeting youth and families.
- Manage the program’s social media and online presence to engage potential participants.
- Develop outreach campaigns to highlight the benefits and impact of the programs.
- Coordinate the creation and distribution of email campaigns, including donor updates, newsletters, and event promotions.
Engagement and Retention:
- Communicate regularly with enrolled participants and their families to maintain engagement.
- Organize open houses, orientations, or trial sessions to attract new youth participants.
- Monitor and track enrollment data, identifying trends and opportunities for growth.
Collaboration and Partnerships:
- Partner with local schools, youth organizations, and community leaders to promote the program.
- Collaborate with program staff to ensure smooth enrollment processes and welcoming environments for new participants.
- Build and maintain relationships with community partners, local artists, schools, and other stakeholders to expand the reach and impact of the program.
- Represent the organization at community events, meetings, and with partner organizations to promote the program and identify collaboration opportunities.
Qualifications:
- Bachelor’s degree in Arts Administration, Nonprofit Management, Education, or a related field (or equivalent experience).
- 3 years of experience in program coordination, preferably in a community arts, youth development, or nonprofit setting.
- 1-2 years of experience supervising staff or leading teams.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills, with the ability to work with diverse populations and community partners.
- Experience in event planning and program development.
- Passion for the arts and a commitment to empowering youth through creative expression.
Preferred Skills:
- Knowledge of various art forms (visual arts, music, dance, etc.).
- Familiarity with community-based programming and working with underserved populations.
- Experience with budget management and reporting.
- Bilingual or multilingual abilities (if applicable).
Job Types: Full-time, Part-time
Pay: $15.00 per hour
Expected hours: 30 – 40 per week
