Position Overview:
We are currently seeking a highly organized and proactive Construction Office Manager to oversee the daily operations of our office. The ideal candidate will possess a solid understanding of the construction industry, be detail-oriented, and have excellent communication skills. As a key point of contact within the organization, the Construction Office Manager will facilitate smooth operations and support the project management team in coordinating construction activities.
Key Responsibilities:
- Licensing: Ensure all construction licenses are current and compliant with local municipality regulations.
- Document Management: Oversee the processing and management of project-related documents, including permits, project plans, and contracts.
- Administrative: Clerical tasks including keeping up with office, stocking supplies, preparing building checklists and file organization
- Insurance: Monitor and process insurance certificates from subcontractors using Project Management software.
- Legal: Collect and organize Master Subcontractor Agreements for all subcontractors before work begins.
- Bidding: Assist the Project Manager with the bidding process, including sending out job-specific Requests for Quotation (RFQs).
- Construction Management Support: Collaborate with the Project Manager in constructing detailed project schedules, organizing quotes, and managing the overall construction process from start to finish.
- Communication: Serve as the primary contact for answering office calls, scheduling meetings, and coordinating appointments.
Qualifications:
- Software Proficiency: Strong command of Microsoft 365 and project management software (experience with Buildertrend is a plus).
- Education: A Bachelor's degree in Construction Management or a related field is preferred.
- Experience: Proven experience in office management, with a preference for candidates with construction industry experience.
- Attention to Detail: Strong record-keeping and organizational skills with a focus on accuracy.
- Work Ethic: Ability to thrive in a fast-paced environment with exceptional communication and multitasking abilities.
- Industry Knowledge: A working understanding of construction terminology and processes is a plus.
