Job Summary
Greets, instructs, informs and directs patients and visitors. Serves as a liaison between patient and medical support staff. Coordinates information and documentation necessary for patient visits.
Collects patient payments at time of service. Answers all calls and directs them as needed. Schedules patient appointments following guidelines.
Essential Functions
- Greets patients and visitors in a prompt, courteous, and helpful manner.
- Notifies clinical support staff (LPNs and CMAs) of patient arrivals using intra-office communication means.
- Checks in patients, verifies and updates demographic and insurance information in the medical record and/or computer system as necessary. Assists patients with disabilities as needed.
- Works with physicians and other staff to develop and/or improve patient flow and customer service, and adheres to patient scheduling templates and guidelines. Reschedules appointments as needed.
- Provides information to visitors and answers phone when necessary.
- Sorts and prepares outgoing mail and other correspondence as necessary.
- Screens visitors and responds to routine requests for information.
- Maintains work area and lobby in neat and orderly manner.
- Observes patient flow and makes recommendations for improving efficiency.
- Collects co-payments and payments on account from patients and/or responsible parties.
- Maintains and balances cash drawer according to clinic policies and procedures; keeps cash secure from theft.
- Records payments collected from patients according to clinic policies and procedures.
- Provides back-up support for other front-office positions as needed.
- Assists in the training of new receptionists as needed.
- Troubleshoots and corrects telecommunications problems as they arise.
- Answers all incoming calls.
- Transfers calls, takes messages and schedules appointments for patients.
- Communicates messages and schedule changes with answering service, hospitals and TLC.
- Manages providers schedules, time off and reschedules patients when needed..
- Attends meetings as required.
- Maintains strictest confidentiality.
- Performs related work as required.
Non-Essential Functions: Perform other duties as assigned.
Qualifications and Education Requirements
- Knowledge of medical front office procedures. Knowledge of grammar, spelling, and punctuation to type patient information.
- Skill in operating a computer and photocopy machine.
- Skill in greeting patients and answering the telephone in a pleasant and helpful manner.
- Ability to speak clearly and concisely.
- Ability to read, understand, and follow oral and written instructions.
- Ability to establish and maintain effective working relationships with patients, patients’ families and/or guardians, physicians, employees, and the public.
- Working knowledge of computerized scheduling systems and general scheduling principles within a primary care clinic setting.
- Ability to maintain positive and cheerful attitude at all times, even when under stress.
- Ability to work collaboratively with physicians and staff to attain business and organizational goals.
- Ability to handle multiple tasks simultaneously without compromising attention to detail.
- General knowledge of telephone systems and their function in a busy medical practice.
Education: High school graduation or GED required.
Experience: One year work experience in a medical office setting preferred; knowledge of medical terminology desirable; word processing and computer experience preferred; experience working with telephone and voice mail systems preferred
Physical and Environmental Conditions
- While performing the duties of this Job, the employee will have a combination of standing, sitting, bending and reaching. May work at a computer monitor for prolonged periods.
- Exposure to blood and body fluids, communicable diseases, chemicals, radiation, and repetitive motions are possible
- Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing.
Minimum of two weekday nights per week, 4:30p-7:30p, and two weekends per month. Weekends are 7:45a-12:30p on Saturdays and 12:15p-4:30p on Sundays.
