Description
As office assistant / bookkeeper I am responsible for management of the following:
Accounts Payable:
Balance and maintain all financial accounts: Multiple Checking, Petty Cash, Paypal, Credit Cards and Loan accounts.
Daily or weekly pay all vendor invoices.
Bi-weekly payroll, including healthcare & IRS Simple plan for each employee.
Quarterly & Annual reporting for 941’s/ MN Withholding/ MN Unemployment/ & W’s2.
Create and review financial statements and cashflow statement with shareholders.
Renew line of credit and loans annually.
Complete all annual 1099 filings.
Maintain all paper records and Company Articles of Incorporation.
Accounts Receivable:
Each month email invoices to sponsors.
Supply all vendors with LMP Form W-9.
Deposit accounts receivable payments weekly. Set-up and monitor ACH payments.
Email statements to sponsors as needed.
Work with AP departments to collect outstanding invoices.
Create and update billing calendar based on sales and contract changes.
Create and update sponsor list. Save and file all contracts digitally and by paper.
When we receive new boats & trailers, report this to MN DMV. Pay sales taxes.
When we sell boats, motor & trailers, create Boat Sale Agreements & Bill of Sale.
Get all necessary signatures. Prepare all paperwork to transfer titles to new owner. Report MN sales taxes if needed.
Online store & FishHead.TV support. Record all sales, report sales tax monthly, and package & mail orders. Order and maintain store inventory. Year-end reconciliation of store merchandise.
Miscellaneous Tasks:
Daily or weekly collect & send mail.
Coordinate building maintenance. Snowplowing, lawn-care and air conditioning & furnace cleanings, telephone and computer equipment. Other building & equipment miscellaneous tasks as needed.
Assist with all human resource tasks. Provide job descriptions for employees. Report new hire information. Complete employment agreements. Support for unexpected items for Federal and State compliance. Such as, create and provide office guidelines for Business COVID Response.
Business Insurance – work with insurance agent to complete and renew annual business insurance policy. This includes, business, vehicle, workers compensation, drone & media liability. Annual renewal dates are:
February – Drone / May – Business Package / November – Media Liability.
Provide Certificate of Insurance to sponsors or vendors as requested.
File all claims and work with adjusters to provide correct information.
Provide and assist in financial audit for worker’s compensation annual audit.
Maintain and renew Music License. Handle copywrite issues as needed.
Maintain all IT, computer, software, and misc. equipment annual service contracts.
Maintain all DOT information - Annual filings, medical cards, vehicle inspections, and mileage logs.
Maintain all drone information - Annual filings and renewal information.
Each November renew Employee Health Insurance Policy. Make changes for employees as needed.
Each November renew LMP’s Simple IRA Plan. Make changes for employees as needed.
Complete all US & MN Census surveys.
Submit year-end financial information to accountant for Federal and State Tax returns.
Enter year-end adjusting entries. Provide tax return information to shareholders and American National Bank. Annual filing with MN Secretary of State.
Support for front desk administration as needed.
All work is completed in Quickbooks, Excel & Word.

Pay: $52,000.00 - $60,000.00 per year
