About Secretary:
Performs varied secretarial and clerical tasks requiring the ability to take and transcribe dictation and the use of a computer keyboard. The work requires the exercise of judgment in the application of prescribed procedures and methods to routine matters. Work requires the use of a word processing program and may require the use of a spreadsheet or database. Work is performed under general supervision. Knows the County's Customer-Centered Culture principles, the County's Mission, Strategic Plan and Core Values and demonstrates a commitment to customer satisfaction for all customers on a regular basis.
Essential Functions
- Takes dictation of letters, reports, memoranda, articles, and addresses relating to routine or specialized fields of work such as medical, legal, child support, risk management, or juvenile detention/diversion services.
- Composes replies to correspondence with or without dictation in accordance with established procedures into a word processing computer program using a keyboard.
- Prepares agenda, arranges facilities for, and takes minutes of meeting of various commissions; and performs related clerical duties.
- Prepares and enters accounting and statistical tables, reports, subpoenas, and similar documents into a word processing, spreadsheet computer programs or database.
- Answers and screens telephone calls, and provides information in response to public inquiries.
- May gather demographic information.
- May be responsible for processing confidential information.
- May schedule appointments and maintains calendar for office staff or supervisor.
- Reads and routes incoming mail, and assembles files and other materials to facilitate reply by a superior, and pull and purges outdated records.
- Prepares requisitions for the purchase of supplies and equipment.
- Sorts, indexes, and files materials alphabetically, numerically, and geographically.
- May complete payroll forms, which includes calculating sick leave hours, overtime, vacation leave, and related data; and submits payroll to proper authorities.
- Operates copier, computer, word processor, adding machine, and other office machines.
- Performs all other related duties as assigned.
- Knows the products they personally produce and the customers of each product. Listens to the “Voice of the Customer “and closes gaps between customer expectations and experience whenever possible.
Minimum Qualifications & Requirements
Candidates must have the following to be considered:
- High school diploma or equivalent required.
- One (1) to three (3) years of experience in a related field required.
Knowledge, Skills, & Abilities:
- Good knowledge of office terminology, procedures, and equipment, and of business arithmetic and English.
- Some knowledge of elementary bookkeeping.
- Working knowledge of computers.
- Ability to take and transcribe dictation at an average rate of speed.
- Ability to make minor decisions in accordance with laws, ordinances, regulations, and established policies.
- Ability to make relatively complex mathematical computations rapidly and accurately.
- Ability to assist the public with questions and concerns.
- Ability to transcribe records.
Special Requirements:
Must pass a County physical examination which includes a drug test after offer of employment. Regular work attendance required. Must remain awake and aware of surroundings at all times.
