About the role:

The Executive Assistant to the CMO will play an integral part in coordinating the day-to-day activities for our CMO, including calendar management and coordination, all travel, and internal and external correspondence where needed. They will also support the marketing department for quarterly off-sites, team building activities, or other essential cross-functional meetings for the marketing team or led by the CMO.

This individual will need to view the big picture of a large volume of different workstreams, understand how they connect within the department and within the company more broadly, to be able to help our CMO in anticipating needs and looking around corners, properly coordinate calendars, remove barriers and ensure seamless day-to-day operations.

We are looking for someone who is highly detail-oriented and adaptable, they should thrive in a fast-paced organization and have top tier administrative and organizational skills to be able to balance high volume of projects/task lists at once.

This individual will need strong written and verbal communication skills as well as being tech/digitally savvy.

  • Provide high-level administrative support to the CMO, ensuring seamless day-to-day operations – demonstrate a high level of responsiveness for shifting needs and meetings throughout the day.
  • Manage complex calendar, including scheduling meetings, prioritizing commitments, and resolving conflicts proactively.
  • Create and manage the CMO’s annual calendar that highlights key workstreams to be aware of, key events, travel and production dates across the department.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries, ensuring efficiency and cost-effectiveness.
  • Excellent professional demeanor with the ability to work with a wide range of levels and management.
  • Prepare and edit correspondence, presentations, reports, and other documents with a strong focus on accuracy and professionalism.
  • Handle confidential and sensitive information with discretion and sound judgment.
  • Build relationships with key stakeholders in the CMO’s internal and external network; professionally represent the CMO.
  • Prioritize conflicting obligations and needs, independently and proactively carry out projects to completion on tight deadlines.
  • Assist in the planning and execution of team offsites and other department related events.
  • Expense and Budget Management: Manage travel expenses and other reimbursements in a timely manner.
  • Partner closely with the EA Support team to create a seamless support system for C-Suite and provide backup on an as needed basis.

Qualifications:

The successful candidate will have the following qualifications:

  • 10 years of experience in high-level executive support, event management, project coordination, and operational excellence, preferably in a high growth environment.
  • 5 years partnering with a C-level Executive.
  • Communication: Excellent verbal and written communication skills, with the ability to proactively engage with stakeholders at all levels.
  • Prioritization and Urgency: Skilled in managing and prioritizing multiple requests simultaneously while maintaining a focus on quality and urgency.
  • Integrity and Discretion: Display the highest level of integrity and professionalism, handling confidential information with discretion and sound judgement.
  • Project Management Skills: Incredibly organized and resourceful – able to organize workflows, acute attention to detail and follow through.
  • Adaptability: Thrive in a fast-paced, often ambiguous environment, and handle changes with a positive, proactive attitude.
  • Tech savvy mobile skills with a preference for experience creating presentations and other materials.
  • Strong proficiency with Microsoft Office, ability to navigate Outlook via mobile

Work Environment:

The expected salary range for this position is $73,800 - $110,800 annually. The exact salary is determined by various factors including experience, skills, education, geographic location, internal company equity, and budget.
