Summary
As a team member of the Administrative Staff, each member must provide clients with superb customer service and support for academic staff in conjunction with the LSS Mission Statement.
Essential Duties and Responsibilities
School Responsibilities
- Arrives at school 10 minutes before assigned time for set-up
- Stays at school until the time designated by direct supervisor, academic director or as business necessitates
- Attends and participates in all staff meetings as desired by the Director or Supervisor
- Performs necessary duties as assigned by the Supervisor or Director.
- Communicates positively with all staff
- Reports to appropriate Supervisors
- Abides by all state and federal mandates in reporting sexual or physical abuse and neglect
- Maintains and supports a positive professional school culture
- Supports and follows directives of academic directors
- Shall not engage in behavior that could be viewed as sexual, dangerous, exploitative or physically harmful to children.
Classroom Responsibilities

Supervisory Responsibilities
This position does not have any supervisory responsibilities.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the Arkansas Minimum Licensing Requirements for Child Care Centers.
Education and/or Experience
Staff member in a child care center shall be 18 years of age or older. All staff members shall have a high school diploma or GED. They shall also obtain 15 hours of training each year in canting Early Childhood Education and the hours shall be registered with the Traveling Arkansas Professional Pathways (TAPP).
Language Skills
Ability to read, analyze, and apply common sense understanding and to carry our instructions in written or oral form. Set priorities and communicate with all levels of personnel, students, and parents.
Mathematical Skills
Ability to apply concepts such as ratios and proportions to practical situations.
Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions. Solve practical problems and deal with a variety of concreate variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills
Ability to use Procare database to sign in and out daily. Ability to effectively learn and use the Procare system, Microsoft Office, Email, Scanner, Fax, Printer, etc.

Physical/ Mental Demands
Employee’s performing the duties of these positions is regularly required to sit and use the wrists, hands, and/or fingers. The employee is occasionally required to stand, walk, climb, balance, lead exercises, and outdoor play. The employee may occasionally lift and /or move up to 25pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus.
Work Environment
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level is low to high and may have frequent interruptions. There may be activity from other employees and students of a distracting nature.
Other Qualifications
Satisfactory criminal records check, pre-hire and annually thereafter, if applicable. Must be eligible to work in the United States and provide work authorization.

Assigned Duties
The Receptionist is to provide support for the Administrative Team and Directors, as well as occasional supportive assistance for other departments (i.e. Academics, Food Service and Maintenance). Assigned duties are subject to adjustments at the discretion of the Administration Supervisor or Directors.
- Answer phone and distribute calls accordingly
- If the person is asking questions that you are able to answer, assist the caller.
- Calls for Administration, Directors, Maintenance or any Supervisor may be patched through.
- Random personal calls for teachers: Explain to the caller the teacher is unable to take the call during a class period, ask if they would like to leave a message. Otherwise, patch the call to the Academic Supervisor.
- Bilingual a plus If you are bilingual: Assist with verbal and/or written translation of both Spanish and English languages as needed.
- Maintain ready copies of school forms in the *Enrollment Center
- Professional Customer Service must be provided
- Welcome and greet parents upon arrival. Learn parent and student names so you may call them by name and greet with a smile.
- Accept payments (cash, check, card), documenting in writing on the Cash Receipts Ledger matching the ProCare entry.
- Assist parents with clocking in or out
- Security: You are the security checkpoint at the front. You will be responsible for assuring the children leave with the appropriate person designated for pick up.
- Introduce yourself as Little Scholars’ Receptionist. Get to know each person/family.
- If a person is picking up a child for the first time:
- Ask for and copy photo ID (No ID=No pick up)
- Check the child’s account in ProCare to be sure the person is authorized on the pick-up list. (No authorization=No pick up)
- When this occurs, the Director or Supervisor in charge must be immediately notified and involved.
- Register the authorized person to be able to clock in and out, instructing the person on the procedures.
- Visitors must sign in, must report why they are here and who they are here to see. They must not be able to roam freely through the building. They must also sign out upon leaving. (Some children have an occupational/speech therapist come in, the therapist present name badge before visiting the student. Also; DHS and Police are legally authorized to speak to children and have our full cooperation, be sure to page Director or any Supervisor to notify them that they are visiting.)
- Foyer and Front Office Appearance (This is usually the “first impression” area on the inside of the building)
- Maintain foyer and office cleanliness
- Seasonal appropriate décor is encouraged
- Computer/Email use
- Keep your computer use facility-task oriented at all times. Continued/College course education is always encouraged, however, please limit your studies to your scheduled break times.
- Do not download any frivolous material. Software for equipment or business template downloads are acceptable from reputable websites only (i.e. HP, Canon, Microsoft, etc…)
- NOTE / RECORD KEEPING
- Each day, emailed or written notes of the events of your shift (including a report of tasks completed) must be provided to your immediate Supervisor.
