About Us: We are a reputable business, tax, and estate planning law firm dedicated to providing exceptional legal services to our clients. Our team is committed to excellence, and we are looking for a Client Onboarding Specialist to join our office in Summerlin, Nevada.
Position Overview: The Client Onboarding Specialist will play a crucial role in ensuring a smooth and efficient onboarding process for new clients. This position requires a detail-oriented individual with excellent communication skills and a strong ability to manage multiple tasks. The ideal candidate will be responsible for executing the tasks outlined in our New Client Onboarding Checklist.
Key Responsibilities:
- Gather Client Intake Information: Collect client's personal details and contact information. Send referral source information to Marketing Coordinator.
- Schedule Initial Consultation: Set up meetings to discuss the client's legal needs and assess the case. Work with paralegals and legal secretaries in scheduling and to identify preferred client contact methods.
- Conduct Conflict Checks: Verify if there are any conflicts of interest that may prevent representation.
- Conduct Client Due Diligence: Perform background research to better understand the client's situation and potential legal issues.
- Prepare Retainer Agreements: Draft and review retainer and fee agreements for client signatures.
- Coordinate Billing and Payments: Work with billing manager to manage billing and payment methods.
- Assign Dedicated Attorney: Work with partners to allocate a lawyer and primary paralegal to handle the client's case. Coordinate with supervising attorneys on specific assignments.
- Open New Files: Create new client files in Clio Manage and accurately document all relevant information.
- Obtain Necessary Documents: Request and organize relevant documents such as contracts and estate plans in Clio Manage in the onboarding process.
- Initial Client Follow-Up: Follow outlined steps for initial client follow-up, including adding to the newsletter list if contact is not made.
- Email Client Next Steps: Work with Primary Attorneys and Paralegals to send emails to clients regarding next steps and firm overview, including other areas of practice.
- Schedule Follow-Up Meetings: Arrange follow-up meetings and provide updates as necessary.
- Define Client Expectations: Coordinate with Primary Attorneys and Paralegals to clearly communicate client's responsibilities, expected timelines.
- Obtain Necessary Signatures: Secure signed engagement letters, consent forms, or other legal documentation.
- Introduce Support Staff: Introduce the client to paralegals or other team members assisting in their case.
- Schedule Next Steps: Work with Primary Attorneys and Paralegals to outline future milestones, or critical deadlines.
- Conduct Regular Progress Updates: Maintain open communication and remind Primary Attorneys and Paralegals to provide updates to clients.
Qualifications:
- Previous experience in a legal setting or client onboarding role preferred.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in using Clio Manage or similar legal management software.
- Ability to work independently and as part of a team.
- Detail-oriented with a commitment to accuracy.
