Summary:
Logistic and Distribution Warehouse in the High Fashion Industry is looking for a qualified candidate to fill the role of Customer Service Assistant. This is a support role that aids the Account Executive in a Office/Warehouse setting with data entry, cataloguing, and the execution of the day-to-day operations for the accounts that they manage.
The successful candidate should have excellent interpersonal skills, phone etiquette, and be able to handle multiple tasks in a fast-paced environment. Duties and responsibilities include but are not limited to:
Core Responsibilities:
- Organize data, reports, and information pertaining to the daily operations of accounts.
- Support Account Executive in the daily routing of orders to the stores that require special routing approvals.
- Work on fulfilling any logs required for completing the daily workload.
- Address any customer service issues that client may have in a timely manner in collaboration with the Account Executive.
- Provide clerical support in maintaining all data pertaining to the operations of the accounts being managed by the Account Executive and Team Leader.
- Provide support for coverage in the absence of the Account Executive.
- Keep Inbound, Order Processing, and Returns documents (hard copies) organized and catalogued so that any may audit them.
- Assist in the performance of investigations regarding customer complaints and other deviations as directed.
Additional Responsibilities
- Help to monitor activities of the Distribution Center in various stages: Receiving, Put Away, Replenishment, Picking, Packing, and Shipping to assist with deployment of workload.
- Assist Account executive with submitting Bill of Lading requests.
- Aid with special requests and VIP requests (Ecommerce).
- Document and record special Extra Value services that our clients use to assist Account Executive with billing.
- Take minutes for meetings for the Account Executive (Operational meetings, Client visits, Internal Meetings).
- Aid the account executive when looking at the overall supply chain and applying any changes to the process flow.
Qualifications/Preferred Requirements:
- Exceptional Interpersonal Skills, Phone Etiquette and Appointment Scheduling
- Excellent communication, written and verbal skills
- Excellent organizational skills
- Professional attitude and appearance
- Multitasking and time-management skills, with ability to prioritize tasks
- Ability to work independently and as part of a team
- Ability to be resourceful and proactive when issues arise
- Ability to handle confidential information with discretion
- Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Customer service focused attitude
- High school degree: additional certification in Office Management is a plus
- Able to contribute positively as part of a team, helping with various tasks as required.
- Bilingual (English and Spanish) a plus
