Job Summary:
We are seeking a detail-oriented and highly organized Senior Accounts Payable Analyst to join our dynamic finance team. The ideal candidate will have extensive experience in accounts payable processing, vendor management, and financial reporting. As a Senior Accounts Payable Analyst, you will play a key role in maintaining accurate and timely processing of all payables, ensuring compliance with company policies, and supporting the month-end and year-end closing processes.
Key Responsibilities:
- Accounts Payable Processing:
- Oversee and manage the accounts payable process, including invoice receipt, coding, approval workflow, and payment processing.
- Review and approve vendor invoices to ensure accuracy, proper documentation, and compliance with company policies.
- Perform three-way match (invoice, purchase order, and receiving report) and resolve discrepancies as needed.
- Process both standard and non-standard payments (ACH, wire, check, credit card).
- Vendor Management:
- Build and maintain strong relationships with vendors to resolve payment issues, inquiries, and discrepancies.
- Assist in negotiating payment terms, discounts, and vendor payment arrangements when applicable.
- Maintain an up-to-date vendor database, ensuring all contact and payment details are accurate.
- Month-End and Year-End Close Support:
- Assist with the preparation of month-end and year-end financial reports, accruals, and journal entries.
- Ensure all accounts payable transactions are recorded accurately and timely for the period.
- Collaborate with the accounting team to ensure proper reconciliation of AP-related general ledger accounts.
- Compliance and Controls:
- Ensure adherence to internal controls, accounting policies, and regulatory requirements.
- Assist in the development and implementation of process improvements for increased efficiency and accuracy.
- Support external and internal audits by providing documentation and reports as needed.
- Continuous Improvement:
- Identify and recommend process improvements to enhance operational efficiency, reduce costs, and improve the overall AP workflow.
- Help streamline and automate accounts payable processes using technology and system tools.
- Reporting:
- Prepare and review accounts payable aging reports, providing timely updates to management on outstanding payables.
- Generate and analyze payment reports to ensure accurate forecasting and cash flow management.
Qualifications:
- Education:
- Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Experience:
- Minimum of 4-6 years of experience in accounts payable or related financial roles.
- Proven experience with AP workflows, vendor management, and month-end close activities.
- Technical Skills:
- Proficiency in accounting software (e.g., Oracle, SAP, NetSuite, or similar).
- Advanced Excel skills (pivot tables, VLOOKUP, etc.).
- Familiarity with electronic invoicing systems and payment automation tools is a plus.
