What are the responsibilities and job description for the GUEST RELATIONS COORDINATOR position at Longwood Gardens?

Longwood Gardens seeks a hospitable part-time Guest Relations Coordinator to be essential in fostering a warm and inviting atmosphere for all guests and visitors to our administration building, The Grove, as well as supporting special events at Longwood. Responsibilities include:
- Serving as the first point of contact in The Grove and coordinating access for guests and visitors
- Providing accurate wayfinding information for guests and visitors
- Assisting with the continuing education classes in the studios, attendee access, and information sharing
- Coordinating and reserving photography sessions for guests
- Reserving and processing the payments of and coordinating visits for all Innovator/Board member concert and firework tickets
- Fulfilling donation requests and entering attendance in Siriusware
- Assisting in creating event agendas and supporting cross-departmental event needs such as coordinating with Marketing on signage needs
- Ordering supplies, data entry, filing, document preparation, and scheduling of reservations and events
The work schedule is Monday through Friday, 12:00pm to 4:30pm.
The ideal candidate will possess:
- Experience in event coordination or hospitality is preferred
- High degree of professionalism
- Strong attention to detail, customer service, organizational, and interpersonal skills
- Ability to work independently and as part of a team
- Ability to lift up to 20 pounds and sit for extended periods
