Luminescence Aesthetics is actively searching for a Client Concierge – an enthusiastic and professional individual who will embody the ethos of our brand by ensuring an outstanding patient experience from start to finish. As a vital member of our team, you'll be the face of Luminescence Aesthetics, welcoming clients with warmth and efficiency. The ideal candidate will have an out going personality and be willing to work with the public, possess basic office skills coupled with organizational prowess and meticulous attention to detail. Must have a constant willingness to learn, be a part of the team, and make the space comfortable for our clients.
**Prior aesthetics knowledge STRONGLY recommended!**
Responsibilities:
- Warmly welcome clients upon arriving at the office, whether in person or over the phone.
- Respond to and address client inquires accurately and honestly.
- Coordinate appointment scheduling to maximize client and staff satisfaction, time management, and room utilization.
- Manage daily schedules for each service provider.
- Retrieve and update client files from our EMR, ensuring all data is accurate and current.
- Keep the office, including reception, waiting areas, and restrooms tidy and organized.
- Handle mail distribution and organize traceability details in client charts.
- Complete assigned daily tasks as per established guidelines.
- Stay informed about all of our service offerings, membership details, pricing, as well as pre- and post- care instructions.
- Maintain a consistently professional and friendly demeanor with clients, both in person and over the phone.
- Accurately process transactions using the Point-of-Sale system.
- Address customer needs effectively while answering calls professionally.
- Participate actively in monthly staff meetings.
- Adhere strictly to the policies and procedures of Luminescence Aesthetics.
- Embody and promote the Vision and values core to the foundation of Luminescence Aesthetics.
- Demonstrate social perceptiveness and situational awareness, particularly in a luxury service environment.
- Perform additional duties as assigned.
Required experience:
At least one year of professional work history as a receptionist/customer service. Esthetics history/knowledge STRONGLY PREFERRED.
Required skills:
· Outgoing personality and demeanor to deal with the public.
· Basic office skills such as typing and phone skills.
· Good organizational skills.
· Willingness to learn, be part of a team, and make a comfortable space
