Position: Office Administrator
Purpose
This position involves the performance of a range of administrative, communication, and related clerical skills. This position is responsible to provide professional administrative support for the staff and to present a positive image to those who contact the church by phone, in person or by email.
General Summary
1. Perform in a highly sensitive environment and deal with confidential matters.
2. Work accurately under deadline situations with the ability to adapt to rapid change of pace.
3. Act as Congregational Representative in all contacts (telephone, visitor and correspondence), generally relieving the supervisor of as much detail as possible.
4. Provide secretarial and administrative services to the church staff as well as the congregation, serve as the church receptionist and coordinate the overall functions of the church office and building use.
5. Coordinate and recruit volunteer office help.
Skills and Qualifications:
· Open, friendly, positive and welcoming communicator (written, verbal, and face to face) with all visitors, members, and staff; fully cognizant of the need for discretion and confidentiality.
· 3 years’ experience working in office management/ administration preferred.
· Proficient user of data and word processing software, experience with basic computer operation and network and website administration.
· Basic knowledge of office equipment (e.g. copier, printing equipment, etc.…)
· Able to work with a diverse group of people in a flexible fashion with shifting priorities.
· Demonstrate ability to work in partnership and build healthy relationships with congregational members, leaders, staff and pastor(s).
· Ability to recruit, train, coordinate and oversee volunteers for specific and appropriate church office tasks.
· Embrace Luther Memorial’s Mission and Core Values, preferably not a member of Luther Memorial Church to help reinforce proper distance in a healthy relationship.
Duties and Responsibilities:
· Office Administration
- Responsible for the weekday operation of the church office and supervises office volunteers.
- Prepare worship service bulletins (Sundays, Wednesdays, Lent, Advent, funerals, weddings, etc.).
- See to the maintenance of all church computer systems and office equipment as needed. Including internet, phone, security and fire alarm systems.
- Maintain general correspondence and record files that include worship bulletins, announcements, Council, Board and Committee meetings, newsletters, and other materials.
- Organization of office and narthex.
- Maintain tickler file for items requiring attention throughout the year.
- Order church and office supplies as needed or directed.
- Run background checks for volunteers and employees as requested.
- Maintains member records.
- Prepares annual statistics report for the Saint Paul Area Synod.
- Other administrative duties as determined by the pastors.
· Communication
- Answer the telephone, greet visitors, and route calls and mail to the appropriate staff person.
- Maintain the master calendar of church activities and schedule.
- Coordinate internal communication including website, newsletter, announcements, periodic mailings and social media.
- Coordinate external communication including newspapers, media outlets
- Help design and produce promotional materials/ congregational brochures
- Maintain church website.
- Act as a “communications hub” for members and staff.
- Act as historian for inquiries into past members.
- Maintain financial files, assist accountant as needed.
· Property
- Calendar and Building use coordination with members, visitors and custodians.
- Maintain log of short and long-term assignment of church keys.
- Maintains records of purchases of all major equipment.
- Schedule maintenance as directed by Facilities Team and Sr. Pastor
· Volunteers
- Utilizes/recruits volunteers as needed. Volunteerism is a valued principle not only for helping with time-consuming and often repetitive tasks, but also to encourage ownership by members in the ministries of the church.
Accountability
This position reports to the senior pastor.
Hours
9:00-2:30pm M-F (12:00- 12:30pm lunch break)
Compensation:
- This position is considered a non-exempt position based on fair labor act standards.
- This position is hourly and part- time. Pay for the part-time position of 25 hours per
week will be at $22.00 per hour. Benefits are available for employees working more
than 30 hours per week. Pay days are the 15th and last day of the month.
- 3 weeks of unpaid time off per year is permitted if approved and scheduled with the
Senior Pastor in advance. For unexpected absence/illnesses, the Senior Pastor must be
notified
Probationary Period:
This position is subject to a 6-month probationary period; during, and at the end of
which, the employee’s performance will be monitored. The employee may be terminated
at any time during the probationary period with or without cause.
Continuing Education
Luther Memorial Church will support opportunities for growth in this position as identified
and proposed by the Office Administrator or Pastor(s) upon approval by the Church
Council.
