We are a very busy 8-attorney San Francisco based law firm, focusing primarily on family law, trusts and estates litigation, real estate, and business litigation.
Role Description
This is a full-time on-site Receptionist/Administrative Assistant position located in our beautiful Jackson Square office in San Francisco, CA. The Receptionist/Administrative Assistant is the first point of contact for visitors at the office and callers on the phone, engaging with prospective and current clients, attorneys, witnesses, court clerks, and vendors. As such, our ideal candidate is extremely cordial, well spoken and put together, detail-oriented, able and ready to multitask, and thrives in a busy environment.
Responsibilities
- Answer and direct incoming calls to attorneys and staff;
- Receive and greet visitors;
- Schedule appointments, calls, meetings, etc, maintaining calendars for several busy attorneys;
- Manage all inbound and outbound mail;
- Sort, categorize and electronically save all documents received in the office;
- Organize and maintain files and databases in a confidential manner;
- Act as a liaison with vendors and couriers;
- Assist attorneys with clerical work, such as assembling exhibits, trial binders, etc.
Qualifications
- Strong communication and customer service skills
- Proficiency with Google Workspace products, such as Gmail, Calendar, Drive, Docs, Sheets
- Working knowledge of Microsoft Office suite products
- Strong organizational and time management skills
- Ability to multitask and prioritize tasks efficiently
- Clerical, secretarial, or other office experience preferred
- Experience in a legal and/or professional services environment is a plus
- College, or at a minimum, high school diploma
We have an immediate opening for a full-time position, as we are promoting our current receptionist to the position of a paralegal. We will consider hiring one full-time person or two people to share the position part-time, which may be perfect for college or grad school/law school students.
