General Position Summary:
The Assistant Property Manager (APM) is responsible for providing support to the Regional Property Manager (RPM) in all areas of management for the assigned properties to include maintenance, tenant relations, collections, monthly reporting, annual budgeting, risk management, property improvements, preparation of contracts, collection of certificates of insurance, sales collection and accounts payables. The APM must possess strong organizational skills and be able to manage multiple priorities at one time.
Essential Functions/Major Responsibilities:
Accounting
- Assist RPM with preparation and submittal of Monthly and/or Quarterly Reports as required; assist with annual Budget creation as applicable.
- Follow-up with property accountants on Manual Billing Adjustments or draft the adjustments as needed.
- Communicate with property accountants and A/R team to ensure all unapplied cash is applied prior to cash cut-off in effort to maximize Property Management fee and ensure accurate statements.
- Monthly A/R collections and follow-up as directed by PM.
- Review reconciliations with PM for approval and ensure proper mailing of year-end reconciliations. Work with tenants on questions regarding the reconciliations once mailed and follow-up on tenant payments.
- Process payables in a timely manner through AVID.
- Run MRI reports such as: Rent Rolls, AR reports, Renewal Option reports, etc. and post as requested.
- Collect and enter sales reports in the accounting system or excel spreadsheets and run the sales reports monthly (or as requested).
- Track Real Estate Tax due dates; ensure checks are processed and mailed timely. Follow-up to ensure payments were received and processed by the taxing authorities.
Administrative Support
- Set-up new Tenant files and organize.
- Assist in review of monthly tenant billing report. Assist tenants with any questions/issues regarding tenant statement.
- Prepare letters for new tenants such as: Possession letters, Commencement Date Certification, Rent Commencement letters, etc.
- Request new vendor/tenant set-up.
- Prepare and process Vendor Agreements. Set up new vendor files and maintain as required.
- Prepare incident reports and communicate with the insurance company when needed.
Operations
- Assist with tenant issues or maintenance calls, including follow-up.
- Maintain/Update Emergency Response Manual.
- Maintain of property information spreadsheets, including tenant contacts, vendor contract tracking, vendor COIs, and building contacts.
- Update utility tracking reports.
- Assist PM to coordinate tenant improvement and capital projects, as requested.
Leasing
- Maintain/Update tenant insurance tracking in Ebix system or/and in Excel.
Miscellaneous
- Performs additional job duties as requested.
- Willingness to travel to portfolio of properties within the regional area.
Specific Job Skills:
- In-depth understanding of financial aspects of property performance.
- Proficient with computer applications such as Microsoft Office, internet navigation and general use of personal computer.
- Ability to multi-task within a team environment yet ability to adapt to individual work station.
- Time Management – Ability to manage time well and be self-motivated, without direct supervision.
- Communication – Able to provide ongoing input to mall team through thoughtful and detailed information.
- Organization – Ability to maintain an organized workspace/office and have the skills necessary to keep an easily understood filing system.
- Customer Service –Interpersonal skills to provide excellent customer service to shopping center guests, retailers, and team
Education and/or Experience:
- Bachelor’s degree plus 1 year relevant experience, preferably in retail commercial environment.
- Real Estate Salesperson License will be required for the position.
Job Conditions:
Position experiences interruptions, need for frequent shifting priorities, and deadlines. The position may occasionally require attendance at evening or weekend property events and/or marketing programs. Regular attendance is a prerequisite in accordance with a regular schedule established for the position by management.
