The Front Office & HR Coordinator at M.S. Walker is truly the heart of our Norwood, MA headquarters! As the first person to greet visitors, employees, clients, and vendors, we are looking for an exceptional individual to manage our reception area and lobby. What You'll Be Doing:
Reception & Office Support:
- Answer all incoming phone calls and direct inquiries appropriately.
- Greet guests warmly and ensure they are properly directed.
- Maintain the guest sign-in/out log.
- Manage office supply inventory and place orders as needed.
- Sort and distribute incoming mail and packages.
- Assist with food orders for meetings and company events.
- Create and distribute employee and visitor security badges.
- Ensure the lobby is clean, organized, and welcoming.
- Assist with managing deliveries and pick-ups.
- Perform other administrative and support tasks as assigned.
HR & Communications Support:
- Provide administrative support for the Human Capital Management (HCM) system, including onboarding and learning modules.
- Assist with coordinating new hire orientations, ensuring a smooth onboarding experience.
- Maintain training records and help employees navigate the learning management system.
- Own the creation, editing, and distribution of the monthly company newsletter, gathering content, writing articles, and coordinating with departments for updates.
- Help coordinate employee engagement activities and internal communications.
Requirements
- Requirements:
- 1-2 years of experience in a Receptionist, Office Administrator, HR Support, or Communications role.
- Outstanding communication skills (over the phone, written, and in person).
- Strong organizational skills and keen attention to detail.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Familiarity with content creation, writing, or newsletter publishing is a plus.
- Ability to adapt and multitask in a fast-paced environment.
- Minimum of High School Diploma or GED.
Additional Details:
- Hours: Monday - Thursday 9:00am - 5:00pm, Fridays 8:00am - 4:00pm
- This role is based onsite at our Norwood, MA headquarters
