The Administrative Assistant I is responsible for providing administrative support within the Department and Macon-Bibb County procedures and guidelines.

- Assists Extension clients with phone, email, and walk-in requests; routes inquiries to appropriate staff person; ensures exemplary customer service
- Accepts, processes and ships various plant, water and miscellaneous samples to appropriate departments
- Composes emails, letters, proposals, reports, notices
- Prepares a variety of reports, including GA Counts.
- Maintains Department files.
- Ensures that MBC and UGA policies and procedures are adhered to and supports staff in understanding guidelines
- Resolves public complaints with service problems, initiates referrals or action, and follows up on same.
- Exhibits strong editing and proofreading skills.
- Markets Extension programs, to include material development and posting on social media.
- Uses Outlook calendar to schedule and communicate programs, county events, and activities.
- Provides direct assistance to Family and Consumer Sciences Agent (FACS), including:
- Establish working knowledge of FACS programming
- Develops shopping lists for necessary ingredients, including coordinating lists for multiple recipes
- Maintains knowledge of inventory and supplies for demonstrations to minimize waste and or over purchasing. Coordinates inventory reconciliation with FACS Agent
- Assists FACS Agent by researching and providing information requested by clients.
- Assists FACS Agent with preparation for and wrap up of educational program, including correspondence, marketing, gathering materials, and summarizing evaluations.
- As time and staff availability allows:
- Assists with basic food preparation activities, including chopping, mixing, slicing, dicing, and correctly measuring ingredients
- Supports on-site educational programs
The Administrative Assistant I should possess, at a minimum, a high school diploma or equivalent and at least three (3) years of experience in administrative support; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position. College degree is preferred.
NECESSARY SPECIAL REQUIREMENTS:
- Must pass the ADVANCED level of the Macon-Bibb County skills test.
- Must be able to type 40 wpm.
- Possession of a valid Georgia Motor Vehicle Operator’s License.
The Administrative Assistant I must be knowledgeable of the following principles, procedures, and concepts:
- Ability to meet the public and to discuss problems and complaints tactfully, courteously, and effectively.
- Knowledge and proficiency of personal computers and word processing and database programs, including the Microsoft Office Suite, the Windows NT network, and internet and e-mail services.
- Ability to write clear and concise reports, memoranda, directives and letters.
- Ability to develop comprehensive plans from general instructions.
- Ability to communicate clearly in both written and verbal forms – especially when interacting with diverse clientele
- Ability to accomplish assigned administrative tasks with a minimum of supervision and with only general direction.
- Ability to use discretion and to maintain appropriate confidentiality and security of private or confidential information.
- Ability to maintain effective working relationships with other employees, elected officials, private organizations, and the general public.
