Position Summary:

The Administrative Secretary plays a pivotal role in providing administrative support, managing office operations, and facilitating communication within the department. The ideal candidate will possess strong organizational skills, attention to detail, and excellent interpersonal abilities.

Qualifications:

  • High school diploma or general equivalency diploma (GED)

  • Three years of related experience

  • Fingerprint clearance with the Alabama State Department of Education prior to the start date

Essential Duties and Responsibilities:

  • Manage the administrative activities, including scheduling meetings, maintaining calendars, and coordinating appointments

  • Assist in organizing department events, workshops, and conferences

  • Maintain accurate records and filing systems, both electronic and hard copy

  • Handle incoming inquiries and requests from staff, parents, and external stakeholders

  • Oversee office supplies inventory, place orders, and ensure adequate stock levels

  • Coordinate office equipment maintenance and repairs as needed

  • Maintain cleanliness and organization of departmental office space

  • Serve as a point of contact for internal and external communications, providing information and assistance as required

  • Compile and analyze data to support departmental operations and decision-making

  • Generate and distribute routine reports, statistical data, and presentations

  • Ensure data integrity and confidentiality in compliance with district policies and regulations

  • Participate in special projects and initiatives as assigned by department leadership

  • Conduct research, gather information, and prepare materials for project implementation

  • Perform other duties as assigned by administrators

Required Skills and Competencies:

  • Ability to follow both oral and written directions and instructions. Ability to communicate clearly, orally, and in writing.

  • Ability to effectively present information to others and respond to students, parents, and staff. Ability to maintain the confidentiality of student matters. Ability to effectively manage time and responsibilities. Ability to be professional in appearance, attitude, and demeanor. Ability to be punctual and comply with a precise work schedule.

  • Ability to establish and maintain cooperative and effective working relationships with others. Basic understanding and knowledge of current technology.

Physical Requirements:

While performing the duties of this job, the employee may be required to sit for extended periods of time. The employee must also talk, hear, stand, and walk. The employee may be required to use their hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
