A sworn people person, you love building relationships both inside the company and out. You’re the Studio Coordinator we’ve been looking for, and we want you on our team.

What You’ll Do

As Madwell’s Studio Coordinator, you’ll embrace an ever-changing workday. You’ll warmly welcome our clients and guests (both in person and on the phone), monitor resources and supplies, create budgets and plans for team events, and generally help to keep things running smoothly for a sizable team of multidisciplinary superstars. 

Specifically, you’ll be:

  • Keeping things running smoothly, happily, weirdly, funly, and festively around the office
  • Overseeing first impressions and welcoming our clients, our staff, and visitors to the Madwell office
  • Managing inventory for office, kitchen, cleaning supplies, MadSwag in a highly organized fashion
  • Placing company orders and tracking deliveries related to materials, projects, and office supplies
  • Overseeing food & beverage program at Madwell (Weekly Brunch, office snacks, pantry items, company events, client meetings)
  • Assisting employees with in-office check-ins or remind them of the process
  • Answering internal slack communications from our team and triaging them appropriately
  • Managing all incoming/outgoing mail communicating with the team to ensure they receive their mail and that they are picking it up in a timely manner.
  • Preparing conference rooms for client meetings and resetting them afterward
  • Assisting the People Culture team with in-office events, when needed
  • Providing general administrative support, including assistance with budget reports, travel arrangements, and workstation setup for new hires, as needed and as a backup
  • Tracking internal costs for company ordering and events, processing expenses, and containing expenses within allotted budgets
  • Ensuring the common areas (e.g. reception area, meeting rooms, kitchens, and open spaces) are kept tidy and ready for immediate use 
  • Supporting the Head of Space Management in maintaining the exterior of the HQ office
  • Performing other office support duties and responsibilities as needed

  • Flexible and responsive to changing priorities
  • Able to maintain a high level of professionalism and secure sensitive information
  • Strong relationship-building skills
  • Proven ability to problem solve independently and communicate interdepartmentally 
  • Willingness to work in-person 5 days a week.
 

Where You’ve Been

  • Experience working in a receptionist / office coordinator role in a creative agency setting is a plus

Salary Range: $62,500 - $68,000

* You must be based in NYC and willing to commute to our Brooklyn office 5 days a week to be considered for this role. *
