We are seeking a highly organized Operations Specialist to manage scheduling, logistics, and communication in a fast-paced environment. This role serves as a key liaison between internal teams, clients, and vendors to ensure seamless operational execution.
Key Responsibilities:
- Coordinate client scheduling and support executive protection operations, logistics, and data management.
- Schedule, track, and manage requests for executive protection agents, drivers, and other client services.
- Assist in preparing security operation plans, risk assessments, event summaries, and other reports.
- Arrange travel accommodations, including rental vehicles, hotels, and flights for security personnel.
- Draft travel briefs, dispatch confirmations, and situation reports for management and clients.
- Act as a point of contact between clients and vendors, managing logistics details such as pick-up/drop-off times, vehicle scheduling, route planning, and risk assessments.
- Address and resolve service concerns to maintain high operational standards.
- Represent the department in meetings, providing updates and policy guidance.
Work Environment & Physical Requirements:
- Office-based role with standard equipment, including computers, telephones, and filing systems.
- Occasional lifting of up to 25 pounds.
- Requires strong visual acuity, including close and distance vision, depth perception, and color recognition.
Qualifications:
- High school diploma required; an associate or bachelor’s degree preferred.
- Three to five years of experience in operations or logistics preferred.
- Experience in executive transportation dispatching is a plus.
- Multilingual and multicultural skills are advantageous.
