Job Title: Assistant Manager Records
Position Summary:
Magna Legal Services is seeking a motivated and detail-oriented in-office Assistant Manager to join our team. This role is ideal for someone who thrives in a fast-paced environment and is capable of supporting the day-to-day operations of an office while managing staff and resources effectively. The Assistant Manager will be responsible for overseeing office operations, supervising administrative staff, assisting with project management, and ensuring the smooth functioning of the workplace. This position will be on-site at our office in King of Prussia, PA.
Key Responsibilities:
- Assist the manager in coordinating daily office operations, ensuring efficiency and productivity.
- Supervise, mentor, and provide guidance to staff to ensure tasks are completed on time and to the highest standards.
- Assist in managing office supplies, equipment, and resources, ensuring proper inventory and timely reordering.
- Prepare and maintain records and documentation, ensuring accuracy and compliance with company policies.
- Perform data entry, file management, and maintain both physical and digital filing systems.
- Support the recruitment, onboarding, and training of new staff as needed.
- Address and resolve any administrative issues, providing effective solutions to ensure minimal disruption to operations.
- Maintain a professional and welcoming office environment for employees, clients, and visitors.
- Collaborate with various departments to streamline operations and improve office workflow.
- Perform other administrative duties as assigned by the Office Manager or senior leadership.
Qualifications:
- Proven experience in an administrative or management role, with at least 1-2 years in an office setting.
- Strong leadership and team management skills, with the ability to motivate and guide staff effectively.
- Excellent organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication skills, both verbal and written.
- Strong attention to detail and problem-solving skills
- Ability to prioritize tasks and manage time effectively.
- Positive attitude, professionalism, and strong interpersonal skills.
Work Environment:
- Office-based position located in King of Prussia, PA. Standard Monday through Friday 8:30 – 5:30 EST schedule.
- Ability to work both independently and as part of a team.
- Ability to work in a fast-paced environment and meet tight deadlines.
- Occasional overtime may be required depending on workload and office needs.
An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs. The range listed is just one component of the total compensation package for employees.

Qualifications
Salary : $45,000 - $47,500
