What are the responsibilities and job description for the Inspections Program Assistant position at Maine State Housing Authority?
Primary Purpose of Position: The Inspections Program Assistant is responsible for assisting with the various tasks associated with the Inspection Services team for the HCV Program.
Core Functions:
- Support Move in and Annual Physical Inspections
o Schedule move in and annual physical inspections for the inspectors
o Generate and send confirmation letters for physical inspections by mail or email
o Maintain physical inspection Excel tracking sheet
o Assist with follow-up, discrepancy letters and the rescheduling of inspections as necessary
o Enter information in the Elite database
o Respond and track emails received from the Inspection shared email box
o Responsible for the Inspection call queue, answer incoming calls and assisting visitors
- Support the Inspection Services team
o Provide information to the inspectors in the field
o Assist in meeting preparations and maintain the inspector’s information binder
o Perform certified, restricted, and UPS mailings
o File and scan documents
Other Duties:
- Stay current on internal and external policies and regulations
- Other duties as assigned
Working Conditions: Fast paced environment with multiple priorities, interruptions & deadlines. MaineHousing office hours are Monday – Friday from 8:00am to 5:00pm.
The job responsibilities set forth in this job description will be shared between two Inspection Program Assistants positions.
Reports To: HCV Inspections Manager
The starting hourly rate for the position is $18.7798 ($39,062 annually), plus a comprehensive benefits package, including, but not limited to, health, dental and vision, retirement options with employer match, life insurance, short and long-term disability, employee assistance, generous earned time and all major federal holidays. Employment is eligible for the Public Service Loan Forgiveness Program.

Requirements:Education and Experience: Education and a minimum of two years housing administration, experience or a combination of four years education and experience preferred.
Certifications:
- Housing Inspection Training (within 12 month of hire)
Skills and Knowledge:
- Strong project management, time management, and organizational skills
- Strong PC skills using various software (spreadsheet, word processing, database)
- Ability to establish and maintain good working relationships with business partners
- Experience communicating effectively in front of groups
- Excellent communication skills – oral, written, listening
- Ability to take initiative, work independently, and utilize creative and analytical skills to resolve issues
