Job Summary:
Steve Smith Trial Lawyers is seeking a highly organized and detail-oriented individual to join our team as an Office Administrator/Bookkeeper. This position plays a crucial role in supporting the Firm Administrator and CFO by assisting with financial operations, office management, and client communications. The ideal candidate will bring a proactive mindset, excellent organizational skills, and a passion for supporting a dynamic legal environment.
Primary Responsibilities:
Financial and Accounting Support
- Assist the CFO with daily bookkeeping tasks, including data entry, reconciliations, and financial record maintenance.
- Process accounts payable/receivable, manage invoices, and track expenses.
- Support payroll processing and track employee reimbursements.
Office Administration
- Maintain a well-organized and clean office environment.
- Manage office supply inventory and coordinate orders as needed.
- Oversee facility maintenance requests and communicate with vendors.
- Assist with new hire onboarding and maintain accurate employee records.
Administrative and Client Communication
- Answer incoming calls promptly and professionally, directing them to the appropriate team members.
- Greet visitors and clients, providing a welcoming and professional environment.
- Manage voicemail, email inquiries, and scheduling.
Qualifications:
- Experience: Prior experience in bookkeeping, office administration, or a related role.
- Education: Associate's degree in Accounting, Business Administration, or a related field preferred (equivalent experience considered).
- Skills:
- Proficiency in QuickBooks or similar accounting software.
- Strong organizational skills with keen attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of legal office operations is a plus.
