We are seeking a detail-oriented and organized Part-Time Office Administrator to join our team at Maines & Associates. As an Office Administrator, you will play a key role in supporting our daily operations and ensuring the smooth running of our office. This position is ideal for someone with experience in the real estate, engineering or land surveying industry looking for a flexible part-time position.
Responsibilities:
Provide general administrative support, including answering phones, responding to emails, and managing office correspondence.
Maintain and organize office files, both physical and digital, ensuring all documents are easily accessible and up-to-date.
Prepare and format documents, reports, and presentations related to land surveying projects.
Bookkeeping and Invoicing.
Enter and update project information in the company’s database and tracking systems.
Assist in the preparation of proposals, applications, and other documentation required for surveying projects.
Order and manage office supplies, ensuring the office is well-stocked.
Provide excellent customer service to clients and visitors, directing inquiries to the appropriate personnel.
Perform other administrative tasks as needed.
Qualifications:
High school diploma or equivalent; some college coursework preferred.
Previous experience in an office setting, preferably in the real estate, engineering, or land surveying industry.
Strong organizational skills and attention to detail.
Proficient in Microsoft Office Suite (Word, Excel and Outlook) and comfortable with office technology.
Experience with QuickBooks
Excellent verbal and written communication skills.
Ability to multitask and prioritize tasks in a fast-paced environment.
Dependable and punctual with a professional demeanor.
Ability to work independently as well as part of a team.
Work Hours:
Flexible part-time hours, typically between 18-25 hours per week.
