This role is pivotal to our organization, serving as a vital resource for the President and Senior Managers. You will play a key role in our operations, facilitating smooth communication, effective task coordination, and the successful completion of key projects.
What You’ll Do
Administrative Support
- Be the go-to assistant for the President and Senior Managers, handling tasks with precision and professionalism.
- Prepare agendas, presentations, and meeting documents.
- Ensure tasks delegated by leadership are completed on time.
Email & Calendar Management
- Manage the President’s email inbox: organize, prioritize, and respond to key messages.
- Schedule and coordinate meetings, ensuring nothing slips through the cracks.
- Draft, track, and follow up on emails, keeping communication flowing.
Finance & Administrative Tasks
- Support basic accounting: data entry, expense tracking, and reconciling accounts.
- Manage financial documentation and assist with financial reporting.
- Handle company insurance policies, claims, and billing.
Project Management
- Assist with research, data compilation, and execution of special projects.
- Help organize, prioritize, and meet time-sensitive deadlines.
Other Responsibilities
- Prepare presentations and collaborate with various departments.
- Handle occasional personal tasks for the President.
What We’re Looking For
Education & Experience
- High school diploma required; Associate’s degree or higher preferred.
- 3 years of experience in administrative or executive assistant roles.
- Basic understanding of financial principles.
Skills & Abilities
- Exceptional organizational and multitasking skills.
- Strong communication skills (written and verbal).
- Advanced proficiency in Google Workspace and spreadsheet management.
- Detail-oriented with a proactive approach to problem-solving.
- Trustworthy and discreet with sensitive information.
