What are the responsibilities and job description for the Contract Administrator position at MAN?
Summary: Create and maintain Sales Documents (RFQs, Quotes, Orders, Invoices) to support Sales Managers for turbomachinery aftermarket business in North America. Coordinate offers and contracts from inception to warranty end period to ensure that all contractual obligations are met.
Key Job Responsibilities:
Create and maintain Sales Documents (RFQs, Quotes, Orders, Invoices) using SAP-based procedures.
Identify, coordinate and follow up on new entries and changes in the SAP database.
Handle internal and external customer inquiries and perform commercial and technical assessments.
Create and send RFQs to MAN Product Centers and shop for price and lead time
Track RFQs and quotes by maintaining the project list, concerning timeline, quality of information, and price.
Prepare quotes using MAN-ES pricing guidelines, internal/external terms and conditions, and bid proposal documents.
Clarify and finalize commercial and technical details of the Sales Documents with internal interfaces.
Perform technical/commercial follow-up tasks.
Create purchase requisitions for Product Centers (PC) or third-party vendors for spare parts and production tickets for service.
Create order confirmations for spare parts and service jobs.
Constantly follows up on orders on delivery dates with Product Centers, service shops, or local vendors
Constant communication internally and with customers during the execution of projects, including expediting deliverables.
Collect shipping documents and send notice of readiness to clients.
Create and complete all the invoices including final taxes and logistics costs.
Ensure compliance with MAN’s Company Code of Conduct and business protocols. Provide support for audits.
Contribute to the order intake forecasting and sales planning process.
Provide information, maintain records, and carry out all duties accurately, efficiently, and timely.
Support other tasks as assigned.
Required Education:
Bachelor's in business administration, or a similar 4-year degree.
Desired Education:
Bachelor's in science or engineering.
Required Experience:
Commercial and technical experience in heavy industrial manufacturing/service environment
Experience in contract administration.
Project coordination and expediting.
SAP or equivalent ERP System experience.
Expert in MS Office products such as Excel, Word, Power point
Familiar with turbomachinery.
Desired Experience:
Legal understanding of contract implications.
Technical knowledge of turbomachinery.
Proficient in SAP
Required 3rd party Certifications/Qualifications: Basic knowledge.
