About the Role
As the Executive Assistant to the VP of Sales, you will play a pivotal role in supporting the growth and operational excellence of our sales organization. Your primary focus will be to think ahead, anticipate needs, and proactively manage tasks to keep the VP’s priorities on track. You’ll serve as a trusted partner, enabling the VP to focus on driving revenue, strategic initiatives, and team leadership. This is a unique opportunity to gain insight into the inner workings of a high-growth SaaS company, develop a deep understanding of sales processes, and collaborate with a variety of professionals across the organization.

What You’ll Be Doing
- Calendar Management: Organize and manage the VP’s calendar, including scheduling meetings, preparing agendas, and ensuring time is allocated to high-priority activities
- Travel Coordination: Anticipate and arrange travel plans, including booking flights, accommodations, and preparing detailed itineraries
- Meeting Support: Attend key meetings, take detailed notes, and proactively follow up on action items to ensure completion.
- Event Planning: Plan and coordinate leadership off-sites and team meetings, including logistics, travel, meals, and agendas, with acute attention to every detail
- Communication Management: Monitor and prioritize the VP’s communication channels, such as email and Slack, ensuring timely and professional responses and flagging critical items
- Project Assistance: Take ownership of special projects, including sales initiatives, reporting, and cross-functional collaboration, ensuring they’re completed efficiently
- Confidentiality: Manage sensitive information with the utmost discretion and professionalism
- Personal Tasks: Anticipate and assist with personal errands and reservations as needed to help balance professional and personal responsibilities

What We’re Looking For
- EA Experience: 5 years in an executive or administrative support role, preferably supporting senior leadership or executives
- Sales Experience: We strongly prefer candidates who’ve worked in a sales org and/or have experience carrying a quota.
- Location: Based in or near Bend, Oregon (While some tasks can be managed remotely, others will require in-person presence as well as some travel.)
- Tech Proficiency: You know how to use and manipulate data in basic tech tools like spreadsheets, project management software, and communication tools, and can learn new software easily.
- Organization: Exceptional attention to detail, with the ability to anticipate needs, create systems, and manage multiple priorities seamlessly
- Communication Skills: Excellent verbal and written communication skills, with a knack for crafting clear, concise, and professional messages
- Proactive Approach: Ability to anticipate needs, stay ahead of deadlines, and solve problems independently
- Flexibility: Comfortable adapting to shifting priorities and managing ambiguity
- Supportive Mindset: A collaborative team player who finds satisfaction in supporting others and ensuring their success
