This is a highly visible position within the organization and requires a high degree of confidentiality and discretion. This position requires the ability to exercise good judgement and to prioritize and manage multiple projects simultaneously with minimal supervision. Executive Administrative Support:
- Completes a broad variety of administrative tasks for the CEO, including coordinating and managing a calendar of appointments; compiling reports; composing and preparing correspondence that is sometimes confidential; arranging plans, itineraries and documents for travel-related meetings and visits
- Communicates directly, and on behalf of the CEO, with Board members, foundation and grant staffs, donors, community partners, and others, on matters related to the CEO’s schedule and programmatic initiatives, etc. Edits and completes drafts for written communication from the CEO to external stakeholders
- Provides minutes, scheduling, communication and file management for large organizational projects. Assists in editing and formatting major organizational documents.
- Researches, prioritizes and follows up on issues and concerns addressed to the CEO and determines appropriate referral, response or action
- Works closely and effectively with the CEO to help keep them well informed of commitments and responsibilities, following up appropriately
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through to successful completion sometimes with deadline pressures
- Serves as administrative liaison to the Board of Directors including composing and distributing minutes and materials before meetings in electronic/paper format; updating and maintaining all board documents; having knowledge of rules and regulations set in Bylaws regarding board and board committee matters; assists in scheduling and communicating on behalf of Board committees and committee Chairs
- Ensures Strategic Plan & Annual Work Plan document control, including plan deliverables for presentation to the Board of Directors
- Supports Senior Leadership Team work and projects, as needed
- Other duties as assigned by the CEO
People and Culture (HR) Support Services:
- Plays a lead role in payroll administration and processing along with Director of People and Culture; assists & supports employees and managers with time & attendance-related issues or questions.
- Responsible for maintaining knowledge of Human Resources and MANNA FoodBank policies & procedures.
- Provides answers to general, non-sensitive employee questions regarding Human Resource policy, procedures, or employee handbook interpretations.
- Acts as back up coverage and support for HR team members when needed and employee resource for questions, concerns or issues.
- Assists the Director and Department of People and Culture with various projects (collecting or researching data, compiling information) and collaborating on team workplans, strategic goals and organizational work. Assists Director of People and Culture with documenting and updating department SOPs and other organizational documents.
- Creates calendar reminders/tasks for HR time bound items as needed
- Assists Director of People and Culture and Leadership Team in identifying training, scheduling, tracking, and sourcing potential training resources
- Creates name tags and manages the business card ordering process.
- Orders for departmental supplies
- Assist in planning, set-up and clean-up for meetings, training and HR events (including Admin Day, Field Day, Holiday Party, etc.); ordering food, developing and distributing materials, etc.
- Acts as a regular back-up and support for the front desk receptionist; included in rotation for lunch coverage
- Support the organization’s EDI initiatives and assist in championing MANNA’s culture and values across the organization.
- Other administrative tasks for People and Culture (HR) Department as requested
General Administrative Support:
- Provides a bridge for smooth communication and leadership to build relationships crucial to the success of the organization
- Successfully completes deliverables with a hands-on approach, including drafting meeting agendas and notes, letters, correspondence, and managing a variety of special projects
- Assist with setting up and clean-up of other meetings as requested by CEO; ordering food, etc. when needed
Qualifications:
- Minimum of a high school diploma or GED and 4 years of related and relevant experience
- Associate or Bachelor’s Degree is preferred
- Payroll experience is preferred
- Demonstrated high level of proficiency in Microsoft Office Suite
- Exceptional written and oral communication skills; close attention to detail and commitment to producing excellent work, with tact and sensitivity. Outstanding organizational skills critical
- Communicates effectively with a diverse group of constituencies, including staff, volunteers and external stakeholders
- Excellent time-management skills; ability to juggle multiple tasks and adapt to ever-changing priorities and unanticipated daily needs
- Always maintains a professional appearance and represents MANNA in diverse settings

- Working Conditions: This position will be performed primarily in an office setting with occasional exposure to the warehouse and outdoors.
Physical Demands: Primary functions require sufficient physical ability and mobility to work in an office setting. This includes: the ability to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; Exerting up to 25 pounds of force occasionally and/or a negligible amount of force to move objects. Functions also require the ability to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard, and to verbally communicate to exchange information. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus; close visual acuity to perform activities including but not limited to preparing and analyzing data and figures, transcribing, viewing a computer terminal, extensive reading.
Travel: Minimal, but routine travel may be required within the service area.
Schedule: Typical schedule is M – F daytime hours with occasional need for evening or weekend needs.
